Job Title: Receptionist/Appointment Scheduler

Full-Time: 40 hours per week Monday-Friday.

Shift: Mondays and Wednesdays through Fridays, 8:30 a.m.-5:00 p.m.; Tuesdays 9:30 a.m.- 6:00 p.m. Plus one Saturday morning per month, 8:00 a.m.-12:00p.m.

We are seeking a personable, highly organized, and dependable professional for the multi-faceted role of Receptionist/Appointment Scheduler. Serve as the first point of contact for our patients. With two new physicians joining and a fresh outreach location launching in 2026, we are looking for candidates ready to excel in this role! Your Role & Responsibilities:

Facilitate Appointment Scheduling: Proactively schedule new and established patient appointments, including managing referral call-backs and optimizing clinic calendars.
Manage Patient Access: Coordinate incoming patient referrals, ensuring a seamless onboarding experience for new patients.
Smile, the Caller Can See It! High volume phone calls are the norm; a friendly demeanor and strong multi-line phone skills are a powerful combo!
Close the Loop: Communicate with referring physician clinics to provide scheduling status updates on their referred patients.
Deliver Exceptional Service: Provide outstanding, empathetic customer service over the phone, via email, and in person.
Handle Data & Documentation: Accurately manage electronic health records (EHR/EMR), scan medical documentation, and handle incoming/outgoing faxes.
Administrative Support: Collect co-payments, verify insurance, perform data entry, and manage patient reminder systems, all while adhering to strict HIPAA/privacy guidelines.
Team Collaboration: Collaborate with clinical staff to provide a smooth, efficient, and welcoming environment.

What We Are Looking For:

Experience: Proven experience in medical reception, appointment scheduling, or a similar administrative role (required). Experience in a physician’s office/multi-location practice is highly desirable.
Patient Communication: Bilingual proficiency in English and Spanish is a plus.
Interaction Skills: Exceptional verbal and written communication skills with a professional, empathetic demeanor.
Technical Proficiency: Strong proficiency in EHR/EMR software, MS Office (email/spreadsheets), and Adobe.
Efficiency: Ability to multitask, prioritize, and thrive in a fast-paced environment.
Reliability: Dependable and punctual attendance.
Education: High School Diploma or GED required.

Typical Job Duties and Responsibilities Include:

Schedule patient appointments, including referral call-backs
Greet patients and visitors in a courteous, friendly manner
Answer multi-line phone system and direct callers
Frequent, accurate scanning of internal/external medical records, patient paperwork and other documents
Reminder calls
Data entry
Insurance entry/verification
Professional demeanor in both external and internal communications and interactions
Reliable attendance
Handle communication and task flow within a fast-paced, multi-location medical practice; ability to multi-task effectively
Accurately collect and record patient co-payments and payment on account
Understand and maintain HIPAA and privacy guidelines
Make reminder calls to patients and schedule automated reminders
Update appointment scheduling templates and clinic calendars
Screen patients
Provide back-up coverage of medical reception area, including occasional extra hours when needed (peer coverage)

Physical Demands:

This position operates in a professional office environment, requiring frequent computer use, sitting, standing, and walking. This position requires occasional activity of kneeling, stooping, crouching, and lifting. The employee may lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

Work Environment:

This job will require exposure to patient elements. Individuals in this role routinely use standard office equipment such as laptop and desktop computers, phones, photocopiers, filing cabinets and fax machines.
