About the Role

We are hiring a full-time Executive Assistant to support Cara Crawford, a top-producing Omaha real estate agent & local creator who is growing a team and building a respected real estate and lifestyle brand.

You will support a big-picture thinker who moves quickly, trusts her intuition, and is known for delivering an elevated, personal experience to every client. Your role is to bring steadiness, organization, and follow-through so the business runs smoothly behind the scenes.

This position combines executive support, business operations, client care, calendar management, project coordination, and occasional personal assistance. Some days will be highly structured. Others will require you to quickly assess priorities, solve an unexpected problem, and keep everything moving without creating more noise.

This is not a future real estate agent or sales position. It is designed for someone who genuinely enjoys being the highly capable person behind a successful leader and growing business.

What You Will Do

Executive and Administrative Support

Manage and protect a fast-moving calendar
Coordinate appointments, meetings, deadlines, travel, and personal commitments
Organize inboxes, flag priorities, draft responses, and ensure important communication does not get missed
Prepare agendas, notes, reminders, and follow-up items
Maintain organized digital files, systems, passwords, documents, and records
Anticipate upcoming needs and handle details before they become urgent
Assist with occasional personal scheduling, errands, reservations, gifting, and household logistics

Business Operations

Keep projects, deadlines, and team priorities moving forward
Create and maintain repeatable systems, checklists, templates, and standard operating procedures
Track open action items and follow through with team members, vendors, clients, and partners
Help implement new tools and improve existing workflows
Maintain accurate information across company platforms
Coordinate recurring business activities, meetings, client programs, and events
Identify inefficiencies and recommend practical solutions

Real Estate and Client Support

Support the administrative side of active buyers, sellers, and listings
Coordinate listing preparation, photography, staging, repairs, signage, printed materials, and launch details
Manage client communication and ensure people feel informed and cared for
Help coordinate vendors, inspections, appointments, closing gifts, and client touchpoints
Maintain CRM records, timelines, notes, and follow-up plans
Work closely with the transaction coordinator, showing partner, marketing support, contractors, and brokerage
Provide an elevated, concierge-level experience at every stage

You will not be expected to negotiate contracts, independently advise clients on real estate matters, or build your own sales business.

Team and Brand Support

Serve as a reliable point of connection between the agent, team members, clients, vendors, and community partners
Help coordinate content days, brand projects, events, partnerships, and special initiatives
Proofread communication and materials before they are published or sent
Protect the consistency, professionalism, and reputation of the brand
Represent the business warmly and professionally in every interaction

Success in This Role Looks Like

Cara is not wondering whether something was completed because she already knows you handled it.
