Full Job Description

We are looking for an Accounts Payable / Front Desk Coordinator to keep the office running smoothly. You'll split your time between greeting visitors and managing calls at the front desk, and handling core AP functions like invoice processing, vendor account reconciliation, and payment scheduling, for a company supporting Construction, Structural Steel/Sheet Metal Fabrication, and Concrete divisions.

This role isn't about public foot traffic, but rather being the professional first point of contact for the clients, vendors, and suppliers who visit or call in, paired with hands-on accounting support behind the scenes.

Duties

Serve as the front-facing point of contact for client visits, vendor deliveries, and supplier calls
Review, verify, and process vendor invoices for accuracy and timely payment
Reconcile vendor statements and resolve invoice or pricing discrepancies
Calculate and apply vendor discounts, rebates, and buybacks
Prepare and process physical checks weekly (every Friday) and as needed
Charge expenses to the correct accounts/cost centers
Maintain organized, audit-ready AP records and documentation
Respond to vendor and internal staff inquiries via phone and email
Provide general clerical and administrative support as needed

Requirements

Prior accounts payable experience, ideally in an industrial or construction setting
Ten-key proficiency and solid typing skills
Basic to intermediate Excel skills
Comfort with Microsoft Office (Outlook email/calendar) and general accounting software
Strong attention to detail and ability to handle confidential information
A professional, personable demeanor — you're often the first face/voice someone from outside the company interacts with
Reliable attendance and a team-first attitude
