Full Job Description

Early Mountain Vineyards is seeking a dynamic Office Coordinator to support our customer service, wine sales, accounting, and general administrative needs. The ideal candidate enjoys connecting with customers, vendors, and fellow employees while exceeding their expectations. The Office Coordinator should communicate in a prompt and professional manner, and multi-task effectively in the face of evolving business priorities. This position also requires excellent computer skills, including the ability to learn new software platforms.

Key Responsibilities:

· Answer phone calls, emails, and customer inquiries in a welcoming and professional manner

· Assist customers with wine order processing, club membership changes, and tasting room reservations using industry specific software programs such as Tock and Commerce7

· Provide general administrative support to winery leadership and department managers

· Support accounting by processing invoices, organizing records, and assisting with data entry

· Coordinate incoming and outgoing shipments and deliveries

· Manage various vendor relationships including, but not limited to, carriers such as UPS and FedEx, and our technology providers such as Verizon and our outside IT support

· Manage daily office operations and maintain an organized, efficient workplace

· Maintain inventory of all office supplies, and order items for other departments as needed

· Support our compliance with all local and federal regulations, including but not limited to those regarding the sale and shipment of alcoholic beverages

· Other administrative duties and special projects as assigned in the context of business needs

Qualifications:

· Minimum of three years of experience in customer service and/or administrative support

· Strong written and verbal communication skills, with excellent attention to detail

· Proficiency with MS Office, Google Workspace, email, and other software

· Ability to work well with others, as well as independently with limited supervision

· Highly organized with ability to prioritize and multi-task while managing time effectively

· A positive attitude, a sense of humor, and a strong work ethic

· Experience in luxury hospitality and/or the wine industry is preferred but not required

Other Requirements:

· Ability to work a regular schedule of Monday through Thursday, plus occasional weekend days

· Ability to lift 50 lbs.

· Ability to sit and/or stand for long periods of time

· Valid Virginia Driver’s License

· Satisfactory completion of company background check
