Job Summary

We are hiring an experienced Office Marketing Assistant Supervisor / Call Center Appointment Setting Supervisor to help manage, coach, and support our appointment setting and confirmation team.

This role is responsible for overseeing inbound and outbound appointment setting, confirming appointments, managing CRM data, improving show rates, and helping drive consistent production from our office and remote appointment setting teams.

The ideal candidate has strong phone experience, customer service experience, appointment setting experience, and the ability to lead a team in a fast-paced, performance-driven environment. This person must be organized, professional, persuasive, tech-savvy, and comfortable holding team members accountable to daily KPIs.

This is an important role in our company because our appointment setting and confirmation process directly impacts our sales team, customer experience, and company revenue.

Key Responsibilities

Answer inbound calls from customers interested in our services.
Call customers who submit online marketing forms and schedule appointments.
Make outbound calls to prospective customers to promote our products and services.
Confirm appointments with customers and provide appointment time windows.
Dispatch appointments to sales representatives daily.
Gather appointment dispositions and updates from sales representatives.
Manage, update, and maintain accurate records in the CRM.
Scrub old data, rehash past leads, and help get previous appointments back on schedule.
Follow up with leads consistently to increase booking and conversion rates.
Establish and maintain positive customer relationships.
Identify and qualify sales leads by gathering key customer information and assessing customer needs.
Clearly explain the features, advantages, and benefits of our services.
Collaborate with sales and marketing teams to ensure qualified leads are properly followed up with.
Monitor daily team performance, call activity, booking rates, show rates, and CRM activity.
Coach appointment setters on scripts, objection handling, confirmations, and closing techniques.
Help train, motivate, and hold the appointment setting team accountable.
Run team huddles, role plays, and performance check-ins.
Maintain clean CRM data with accurate notes, dispositions, and follow-up tasks.
Update Google Sheets and internal reporting documents as needed.
Help improve systems, scripts, workflows, and appointment conversion processes.
Support recruiting, onboarding, and training of new appointment setters when needed.
Stay informed on company services, industry trends, and competitor offerings.

Experience in roofing, home improvement, solar, HVAC, construction, or another appointment-based sales environment is strongly preferred.

You will be expected to help the team:

Complete high-volume inbound and outbound phone activity daily.
Maintain fast speed-to-lead response times.
Improve booking rates and appointment show rates.
Keep the sales pipeline full at all times.
Maintain clean CRM records with accurate notes and dispositions.
Hit and exceed monthly appointment booking goals.
Continuously improve scripts, follow-up systems, and team performance.
Create a disciplined and accountable team culture.

Key Performance Indicators

The team is expected to maintain consistent productivity and support company growth through daily and monthly KPIs, including:

Minimum daily inbound and outbound call activity.
Strong inbound lead close rate.
High appointment booking volume.
Consistent appointment confirmation activity.
Improved appointment show rate.
Accurate CRM documentation.
Clear communication with the sales team.
Consistent follow-up with new, old, and unsold leads.

Required Experience

3+ years managing appointment setters or call center representatives.
2–3 years of appointment setting, confirming, or phone sales experience.
4+ years of customer service experience.
Proven experience hitting aggressive booking, sales, or lead conversion targets.
Experience managing inbound and outbound calling activity.
Experience coaching phone reps on scripts, objection handling, and closing.
Strong KPI tracking, reporting, and accountability experience.
CRM experience required; Go High Level experience preferred.
Experience with auto dialers required.
WAVV auto dialer experience is a plus.
Google Sheets and Google Meet experience required.
Home improvement, roofing, solar, HVAC, construction, or similar industry experience preferred.
