About the Role
Atlas is looking for a detail-oriented, self-motivated Inspection Coordinator in Portland to be our eyes and ears in the field. Reporting to the Property Director, you'll be the person who keeps our properties safe, clean, and running right — inspecting units, managing the turn process from move-out to move-in ready, coordinating vendors, and making sure every asset reflects the Atlas standard.
This is a great fit if you take pride in property conditions, like being out in the field instead of behind a desk and can independently juggle a busy schedule across multiple properties. You'll be the face of Atlas to residents, vendors, and the community, so professionalism and good judgment matter as much as attention to detail.
What You'll Do
Property Inspections & Curb Appeal
- Conduct formal inspections in AppFolio at least every other week; document findings, build corrective action plans with the Property Director, and follow up until issues are resolved.
- Complete quarterly and annual inspections alongside the Property Director and/or Portfolio Manager.
- Audit parking areas, storage units, garages, mailboxes, keys, lockboxes, and access controls; report findings and ensure corrective action.
- Recommend repairs, replacements, and improvements based on what you see in the field.
Move-Out & Turn Inspections
- Complete move-out inspections in AppFolio with full photo documentation within one business day of move-out and assign findings to the right maintenance team member.
- Complete post-turn inspections within one business day of a unit being marked move-in ready, comparing against the original move-out inspection to confirm the work meets rent-ready standards.
- Change locks and store keys per property procedures; install lockboxes for upcoming move-ins and self-guided tours.
Vendor Coordination
- Meet vendors on-site and oversee scheduled appointments.
- Coordinate sheriff lockouts with the Property Director and legal counsel.
- Report on vendor performance and flag concerns promptly.
Resident Communication & Notices
- Report and delegate resident violations, concerns, and feedback to the Property Director, and keep them updated on open items.
- Post and mail notices as directed, in strict compliance with Oregon service requirements — timely, proper delivery is a critical legal obligation.
- Redirect resident and vendor communications to the appropriate team member; do not accept physical payments or documents.
Risk Management & Safety
- Support property risk management, safety standards, and life/safety inspections per Atlas policy.
- Communicate hazards and liability risks promptly, and complete incident reports when on-site incidents occur.
Documentation
- Complete all AppFolio workflows accurately and log inspection reports, photos, and findings by end of business day.
- Maintain organized, accurate records per Atlas policies.
Key Performance Targets
- Move-out inspections completed within 1 business day of resident move-out.
- Post-turn inspections completed within 1 business day of a unit being marked move-in ready.
- Each property formally inspected at least every other week, with corrective action tracked to resolution.
- Quarterly inspections completed and submitted accurately and on time.
What We're Looking For
Minimum Qualifications
- Minimum 2 years of experience in multi-family property management, inspections, compliance, or related field.
- Demonstrated working knowledge of Fair Housing laws, landlord-tenant laws (Oregon), and general regulatory compliance requirements.
- Experience conducting property inspections, move-out inspections, and life-safety or risk-related reviews.
- Proficiency in property management software (experience with AppFolio or similar platform).
Proficiency in Microsoft Office (Word, Excel, Outlook).
- Valid driver’s license with clean driving record and reliable transportation.
- Ability to travel weekly between assigned properties.
- High school diploma or equivalent.
- Ability to participate in an on-call rotation for emergency calls.
- Authorized to work in the United States.
Preferred Qualifications
- 4+ years of multi-family compliance or multli-site property management experience.
- Direct experience using AppFolio.
- Experience assisting with annual budget preparation or capital planning.
- Experience documenting inspections and working in a high-volume multi-site or regional inspection support role.
Skills & Abilities
- Strong understanding of multi-family operational standards, risk management practices, and regulatory compliance requirements.
- Ability to conduct detailed inspections and identify physical deficiencies, safety concerns, and compliance gaps.
- Strong organizational and documentation skills with high attention to detail.
- Ability to manage multiple properties, deadlines, and action plans simultaneously.
- Professional written and verbal communication skills.
- Ability to clearly document inspections, violations, and resident communications in AppFolio.
- Strong time management and ability to work independently with minimal supervision.
- Conflict management skills and ability to redirect resident/vendor concerns appropriately.
