Sr Payroll Specialist / Tax Analyst (Company: Confidential)

ABOUT THE ORGANIZATION

This position is with a privately held company headquartered in the Pacific Northwest. The organization owns and operates a portfolio of companies spanning construction, commercial real estate, manufacturing and professional services. Subsidiaries operate with a degree of autonomy under shared corporate infrastructure, including centralized finance and payroll functions. The corporate team supports all organizations and regions and plays a critical role in maintaining consistent operations across a multi-entity structure with both union and non-union workforces.

ROLE SUMMARY

Provides support to Payroll Department in the administration of Company Payroll and Financial Benefits for all portfolio companies within a multi-entity holding company structure. Assists in monitoring and processing union payroll regulations and labor adjustments. Manages and processes employee timecard data and communicates with employees as necessary to ensure timely payment. Assists in daily office needs and handles general administrative activities.

CLASSIFICATION & SCHEDULE

The Employee is expected to work Monday through Friday, 5/8’s, or Tuesday through Friday, 4/10’s

WORK LOCATION

Corporate Office - Portland, Or

REQUIRED SKILLS & EXPERIENCE

· Knowledge of office management systems and procedures

· Working knowledge of office equipment, like printers and scanning machines

· Advanced skill level in Excel

· Proficiency in construction ERP and other electronic data programs which may be utilized by the company

· Knowledge of multi state tax compliance

· Knowledge of union payroll

CORE COMPETENCIES

· Attention to detail and problem-solving skills.

· Excellent oral and written communication skills

· Strong organizational skills with the ability to multi-task

· Working knowledge of union pay requirements and company payroll policies, company gas card program, and direct deposit system.

· Maintains strict confidentiality of all personnel and payroll matters.

· Excellent customer services skills and willingness to support the employee payroll needs.

KEY RESPONSIBILITIES

· General Payroll Department Support: Aids in the administration of company payroll and financial benefits.

· Sr Payroll Specialist should be able to perform all duties of Payroll Specialists as well as the below listed additional responsibilities:

o Prepare all quarterly tax filings

o Audits and reconciliations as assigned

o Review and release weekly ACH files

o Assist with annual W2 process

o Research accrual discrepancies

o Sign CPR reports for project teams

o Respond to tax inquiries

o Assist with month end reporting tasks as assigned

o Assist with year-end tasks as assigned

o Assist with annual benefit updates

o Assist with new union contracts updates

o Assist with supporting the team and answering questions as needed

o Other duties as assigned
