Job Description

We are seeking an experienced, highly organized, and dependable Office Manager to oversee the business and administrative operations of our growing law firm in Provo, Utah.

This is a key leadership role responsible for managing all behind-the-scenes functions of the firm — allowing our attorneys and managing partners to focus on practicing law, serving clients, and growing the business.

The ideal candidate is proactive, detail-oriented, financially savvy, and capable of handling a wide range of responsibilities with professionalism and discretion.

Responsibilities IncludeFinancial & Accounting Management

Manage firm accounts payable and accounts receivable (AP/AR)
Oversee legal billing, invoicing, collections, and client account support
Maintain accurate bookkeeping and financial reporting
Assist with budgeting, projections, and cash flow management
Coordinate bank deposits and manage vendor payments

Payroll, HR & Benefits

Process payroll accurately and on schedule
Administer employee benefits and insurance plans
Support hiring, onboarding, and employee record management
Serve as the primary HR contact for staff and firm policies

Business Operations & Firm Support

Oversee daily office operations and workflow efficiency
Manage shareholder and internal administrative needs
Coordinate vendors, contracts, office purchasing, and supplies
Lead operational improvements and special projects as needed

Property & Facilities Management

Coordinate office upkeep, repairs, and building maintenance
Work with landlords, contractors, and service providers
Ensure the office environment remains professional and functional

Qualifications

5+ years of experience in office management, firm administration, or business operations (law firm experience preferred)
Strong knowledge of bookkeeping, payroll, and financial systems
Experience with billing and accounting software (QuickBooks, Clio, etc. preferred)
Exceptional organizational and communication skills
Ability to handle confidential financial and personnel matters with discretion
Self-starter mentality with the ability to manage multiple responsibilities independently
