We're growing, and looking for a sharp, detail-oriented **HVAC/R Service & Replacement Estimator** to help us scope work accurately, price it competitively, and keep our projects profitable. This is a predominantly office-based role (about 70% office, 30% field) built for someone who knows HVAC/R systems inside and out, thrives on accuracy, and enjoys being the person who ties the field and the front office together. What You'll Do
As our HVAC/R Service & Replacement Estimator, you'll research equipment and parts pricing in the Central Florida market, prepare competitive estimates for commercial and residential service, repair, and replacement work, process warranty returns to suppliers, and work hand-in-hand with our HVAC Department Manager, field technicians, and customers to deliver professional, accurate, and profitable results.
Day to day, you will:
- - Research HVAC/R equipment, parts, materials, and supplier pricing to find cost
- -effective solutions for service, repair, and installation projects.- Build detailed, itemized estimates for commercial (retail, office, medical, industrial, warehouse) and residential jobs, accurately accounting for labor, materials, overhead, and fees - Following industry best practices (ACCA, ASHRAE guidelines).
- - Review job specs, plans, site-visit notes, photos, and technician input to scope work correctly and flag variables or challenges before they become surprises.
- - Process warranty equipment and parts returns to suppliers: prepare documentation, submit RMAs, track shipments, follow up on credits and replacements, and keep clean, detailed records.
- - Partner with the HVAC Department Manager to review estimates, align with pricing strategy, protect margins, and manage warranty activity.
- - Work with our field technicians to gather insights, validate technical details, and support warranty claim documentation.
- - Communicate professionally with customers (owners, property managers, and tenants) to present estimates, explain scope and cost, answer questions, and provide updates.
- - Use estimation software, AI, ServiceTitan, warranty tracking tools, and Microsoft Excel to manage estimates, revisions, warranty returns, and approvals.
- - Conduct site visits (including rooftop to units) for scoping, measurements, photo documentation, or technician coordination when needed.
- - Stay current on Central Florida market trends, industry standards, supplier and warranty policies, local codes, and the climate factors that make HVAC/R work in our region what it is.
- - Assist with bid preparation for larger projects and help improve our estimating and warranty processes.
- - Support other HVAC/R projects at an administrative level (project coordination, documentation, vendor communication, inventory tracking, ordering, and compliance reporting) as directed by management.
What You Bring
- - **3+ years** of proven experience as an HVAC/R estimator or in a similar role within the HVAC service/repair industry. *(Required)*
- - Field experience of **2+ years** in the field performing service and/or installations so you understand the technical side of HVAC/R. *(Required)*
- - **6 months to 1 year** of hands-on experience processing warranty returns, RMAs, and supplier credits for HVAC/R equipment and parts. *(Required)*
- - In-depth knowledge of HVAC/R systems, components, repair methods, service protocols, and warranty processes for commercial and residential applications.
- - Proficiency with HVAC operations and estimation software (ServiceTitan, On-Call Air, or similar), warranty tools, and Microsoft Excel skills.
- - Familiarity with HVAC/R industry standards, codes, EPA regulations, and best practices.
- - A solid understanding of the Central Florida HVAC/R market - local suppliers, pricing, warranty policies, and regional requirements.
- - Excellent verbal and written communication skills for working with managers, technicians, customers, and suppliers.
- - Detail-oriented, highly organized, and analytical, with the ability to process multiple estimates and hit deadlines in a fast-paced environment.
- - Comfortable with primarily office-based work (70%) with field/site visits (30%), including rooftop access.
- - Valid Florida driver's license and reliable transportation for site visits.
- - High school diploma or equivalent required. Trade school coursework and training in HVAC/R technology a plus.
Preferred (not required):
- - HVAC/R certifications such as NATE, EPA 608/Universal Card, or others.
- - Training or certification in Building Automation Systems, VAV’s and Zone Controllers.
