Windermere, FL. / Remote Administrative Support with Local Property Management

A busy professional family is seeking an experienced Personal Assistant / House Manager to provide high-level administrative, household, and property support. This is a unique opportunity for a highly organized professional who is comfortable working independently, managing details behind the scenes, and becoming a trusted extension of the family.

The ideal candidate will be a true self-starter who can anticipate needs, take ownership of tasks, and keep things moving without requiring constant direction. This role will involve a combination of personal assistance, household management, property coordination, travel logistics, and miscellaneous administrative support.

A significant portion of the position will involve remote management and coordination of the family's Windermere property, as well as assisting with additional properties located both within and outside of the United States. The ideal candidate should be comfortable communicating with vendors, coordinating access, managing details remotely, and ensuring that property-related needs are handled efficiently.

The Personal Assistant / House Manager will also provide day-to-day administrative support, including monitoring and responding to emails, scheduling meetings and appointments, coordinating calendars, and assisting with travel arrangements. The family may occasionally require last-minute travel coordination, so the ability to remain calm, organized, and resourceful when plans change quickly is essential.

This position will also involve handling a variety of personal and household tasks, such as purchasing and coordinating gifts, assisting with bill payment approvals, managing gate access and communicating gate codes when appropriate, coordinating vendors and service providers, and taking care of the many small details that help a busy household run smoothly.

The successful candidate will be highly discreet, professional, resourceful, and trustworthy. This individual will have access to private family information and will be expected to exercise exceptional judgment and confidentiality at all times. The selected candidate must be comfortable signing a Non-Disclosure Agreement (NDA) as a condition of employment.

The right person for this position will enjoy being the person behind the scenes who makes things happen. They should be comfortable receiving a task and taking it from start to finish, communicating clearly along the way, and identifying what needs to be done before being asked. Strong organization, attention to detail, responsiveness, and the ability to prioritize competing requests are essential.

The Ideal Candidate

Previous experience as a Personal Assistant, Executive Assistant, House Manager, or similar role
Highly organized with exceptional attention to detail
Self-starter who takes initiative and ownership
Professional, polished, and confident in communication
Extremely discreet and trustworthy
Comfortable signing an NDA
Experienced managing confidential personal and family information
Comfortable monitoring and responding to emails on behalf of a principal
Strong calendar and scheduling skills
Experienced coordinating domestic and international travel
Comfortable arranging last-minute travel plans and changes
Able to coordinate and remotely oversee multiple properties
Comfortable communicating with vendors, contractors, service providers, and property contacts
Comfortable managing gate access and communicating access information appropriately
Able to assist with bill payment approvals and other household administrative tasks
Comfortable purchasing and coordinating gifts and personal items
Resourceful and calm when unexpected requests arise
Excellent written and verbal communication skills
Able to work independently and prioritize multiple tasks
Comfortable handling a variety of miscellaneous personal and household requests with professionalism and discretion
