Job Summary

We are seeking a reliable, proactive, and detail-oriented Office Assistant / Administrative Clerk to support our day-to-day office operations. This role is responsible for helping maintain an organized and efficient office, managing incoming correspondence, coordinating administrative tasks, tracking scheduled meetings and appointments, and ensuring general office needs are handled properly.

The ideal candidate is organized, responsible, comfortable with basic computer applications, and able to manage multiple tasks independently. This position requires someone who pays attention to details, communicates professionally, and takes initiative to keep daily office operations running smoothly.

Responsibilities

Support and coordinate day-to-day office operations and administrative activities
Receive, sort, and distribute incoming mail and correspondence to the appropriate departments
Monitor emails and other office communications and direct information to the appropriate staff or department
Answer and direct incoming phone calls and general inquiries professionally
Maintain awareness of upcoming meetings, appointments, deadlines, and scheduled events
Assist with calendar management and meeting coordination as needed
Handle and track routine company payments, including toll payments, utility bills, and other office-related expenses
Maintain basic records of bills, payments, receipts, and upcoming due dates
Perform accurate data entry and maintain organized electronic and physical filing systems
Assist with document preparation, scanning, printing, copying, and other general clerical duties
Monitor office supplies and place or coordinate orders when necessary
Monitor office equipment and coordinate maintenance or report issues when needed
Help ensure the office remains clean, organized, presentable, and properly maintained
Communicate with vendors and service providers regarding routine office needs when necessary
Provide administrative support to different departments as needed
Handle company and confidential information responsibly and professionally
Assist management with other general office and administrative tasks as assigned

Experience & Qualifications

Previous experience as an Office Assistant, Administrative Assistant, Office Clerk, Receptionist, or similar administrative role is preferred but not required
Basic proficiency with Microsoft Office, including Word, Excel, and Outlook
Strong organizational and time-management skills
Good written and verbal communication skills
Ability to prioritize multiple tasks and follow up on responsibilities
Strong attention to detail and accuracy
Comfortable working independently and taking initiative
Basic knowledge of record keeping, invoices, bills, and payment tracking is a plus
Ability to handle confidential information professionally
Reliable, punctual, and responsible
Bilingual skills are a plus but not required
