Full Job Description

We are seeking a proactive, highly organized, and detail-oriented Gas Services Assistant to provide comprehensive administrative support to a fast-paced team environment. In this role, you will serve as a key point of coordination for daily operations, executive support, team logistics, and administrative processes. The ideal candidate is adaptable, resourceful, and able to manage a wide range of responsibilities with discretion, professionalism, and a strong sense of urgency. This position plays an important role in enabling team effectiveness by supporting leadership calendars, travel, meetings, onboarding activities, procurement processes, reporting, and general business operations.

A Snapshot of Your Day

No two days are exactly the same in this role. You may begin the day by reviewing and prioritizing a highly active senior leadership calendar, coordinating schedule changes, and ensuring meetings are aligned with shifting business needs. Throughout the day, you will support domestic and international travel planning, prepare expense reports, coordinate team meetings and events, and respond to urgent administrative requests that help keep the organization running smoothly.

You will also partner across functions to support onboarding and offboarding activities, track purchase orders and invoices, maintain organized records, prepare presentations or routine communications, and coordinate meeting logistics such as room reservations, catering, visitor arrangements, and external venues. Success in this role requires strong judgment, attention to detail, excellent follow-through, and the ability to manage multiple priorities with professionalism and efficiency.

How You’ll Make an Impact

· Provide high-level administrative support to leaders and teams, including management of complex and frequently changing calendars.

· Coordinate meetings, including agendas, room scheduling, catering, materials, technology setup, and attendee communications.

· Arrange and manage domestic and international travel itineraries, including flights, lodging and ground transportation.

· Prepare, submit, and reconcile expense reports accurately and in a timely manner while ensuring compliance with company policies.

· Create, process, and track purchase orders, invoices, requisitions, and other administrative transactions through internal systems.

· Facilitate onboarding and offboarding for team members by coordinating equipment, workspace needs, system access, distribution lists, and other required administrative steps.

· Maintain organized electronic files, records, trackers, and distribution lists to support effective team operations and reporting needs.

· Coordinate office and operational needs such as supplies, workspace logistics, shipping, visitor support, and other day-to-day administrative requirements.

· Provide general administrative support for special projects and business initiatives as assigned.

What You Bring

· High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field preferred.

· 3+ years of experience in administrative support, executive assistant, or office coordination role, preferably in a corporate, operations, or industrial environment.

· Demonstrated experience managing complex calendars, coordinating meetings, and supporting leaders in a fast-paced environment.

· Strong organizational skills with the ability to prioritize multiple assignments, meet deadlines, and adjust quickly to changing business needs.

· Excellent written and verbal communication skills, with the ability to interact professionally at all levels of the organization.

· High attention to detail and accuracy in document preparation, scheduling, data entry, and transaction processing.

· Ability to handle confidential and sensitive information with discretion and sound judgment.

· Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.

· Experience with travel coordination, expense reporting, procurement, invoice processing, and related administrative systems is strongly preferred.

· Experience supporting onboarding, offboarding, event coordination, and general business operations is a plus.

· Self-starter mindset with strong follow-through, customer service orientation, and a collaborative approach to problem-solving.
