Under general supervision, this position manages student enrollment, registration, withdrawals, transfers, scheduling, records, and FTE/state reporting requirements for OACS. Ensures the accuracy and compliance of student information within school and district systems and processes required student documentation and data corrections. Provides administrative and technical support to school administration, staff, families, and district departments regarding enrollment, student records, attendance, transfers, and applicable policies and procedures. Maintains accurate student records, prepares required reports, and performs related duties as assigned.

CUSTOMER SERVICE AND SCHOOL SUPPORT

Responds to phone, electronic, and inperson inquiries regarding school information, student assignments, and transfer procedures.

Provides professional, timely, and courteous customer service to students, families, staff, visitors, and district personnel.

Collaborates with internal and external staff to resolve questions, errors, and necessary corrections.

Maintains a welcoming and professional frontoffice environment and assists with general school inquiries.

Provides administrative support to the school principal and school leadership, including reporting, communications, and other schoolbased operational needs assigned.

STUDENT RECRUITMENT, MARKETING AND ENROLLMENT

Responsible for student recruitment and retention to meet annual enrollment goals and maintain a strong waitlist.

Partners with the Principal to develop and implement marketing, enrollment, and family engagement strategies.

Manages email, text, print, website, social media, and digital marquee to promote the school and communicate with current and prospective families.

Collaborate with school administration to develop marketing content that strengthens the school's identity and builds family trust.

Plans and coordinates recruitment events, including information sessions, school tours, open houses, and orientations.

Maintains the annual enrollment calendar, including Intent to Return, Open Enrollment, lottery dates, and other key enrollment deadlines.

Manages enrollment and application activity to support full enrollment and program capacity goals.

Prepares registration packets, and registers kindergarten and new students for Elementary School. Prepares informational flyers; coordinates the production and distribution of materials.

Supports school departments with testing, screener updates, and student information systems.

Compiles, reviews, and verifies student data, including identification, demographic, and support information, to ensure accuracy and assist departmental needs.

STUDENT ENROLLMENT RECORDS AND ATTENDANCE

Maintains accurate student transfer, school assignment, attendance, and enrollment records.

Reviews and processes transfer documentation, including guardianship, domicile, medical, academic, childcare, and workplace requests.

Updates student records and immunization information in OACS and district systems and maintains cumulative student files.

Manage student enrollment, withdrawals, scheduling, and records in Skyward and OACS systems, ensuring data accuracy and regulatory compliance.

Processes student withdrawals, transfers within and outside the district. Maintains accurate immunization records, and cumulative student files.

Monitors student attendance and truancy concerns, maintains required records, and reports concerns to the principal.

Develops enrollment process checklists and communicates student enrollment changes to appropriate staff.

SCHOOL MASTER SCHEDULING

Develops and maintains the master student schedule, making adjustments as needed in collaboration with school administration.

Reviews scheduling data to identify conflicts, changes, and enrollment needs.

Manages master schedule for student enrollment, withdrawals, scheduling, and data corrections in Skyward and OACS systems, ensuring accuracy and compliance with federal and state requirements.

FTE AND STATE REPORTING

Serves as the school’s primary liaison for Student Enrollment Services, FTE, and state reporting requirements.

Coordinates with the district, Florida Department of Education, and internal departments to resolve enrollment, demographic, ESE, ESOL, and student data issues.

Prepares, reviews, and maintains FTE reports and documentation to ensure accurate student enrollment, schedules, coding, and audit records.

Oversees schools state reporting survey periods, identifies errors, and completes required corrections within established deadlines.

Reviews and corrects student information system data and FTE coding errors reported by the district or the Florida Department of Education.

Validates and maintains FLEIDs, research discrepancies, and resolves student identification errors.

Provides guidance and reporting information to administrators, teachers, and staff to support accurate FTE and state reporting.

Assists with Food and Nutrition Program records, including free/reduced meal eligibility for state reporting and student allergy information.

Maintains proficiency in OACS and district technology systems and completes required training to effectively perform job responsibilities.

Associates degree from an accredited institution in public administration, business administration or related field; and three (3) years previous experience and/or training that includes clerical, secretarial, or governmental relations work, or any equivalent combination of related education, training and/or experience which provides the required knowledge, skills and abilities to perform the essential job functions.

Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
