Job Summary

We are seeking a dynamic and highly organized Virtual Support Assistant to join our team! In this energetic role, you will provide essential administrative and clerical support remotely, ensuring smooth daily operations and exceptional client service. Your proactive approach and excellent communication skills will help manage office tasks efficiently, support client interactions, and handle confidential information with professionalism. Duties

Manage multi-line phone systems, answer inquiries promptly, and direct calls with professional phone etiquette.
Provide exceptional customer support by addressing client questions, scheduling appointments, and following up on requests.
Perform data entry tasks accurately using Microsoft Office applications and specialized software such as QuickBooks for bookkeeping and financial record-keeping.
Handle front desk responsibilities virtually, including managing emails, organizing files, and maintaining office supplies records.
Assist with office management duties such as calendar coordination, appointment scheduling, and document proofreading to ensure clarity and accuracy.
Support bookkeeping activities by reconciling accounts, managing invoices, and maintaining confidential financial records.
Facilitate effective communication with clients and team members through organized client communication logs and timely updates.
Maintain confidentiality of sensitive information while handling administrative tasks efficiently in a fast-paced setting.

Qualifications

Proven experience in office management, administrative support, or clerical roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy across various platforms.
Experience with QuickBooks or similar accounting software is highly desirable for bookkeeping tasks.
Excellent phone communication skills coupled with proper phone etiquette for professional interactions.
Bilingual abilities are a plus to serve diverse client needs effectively.
Strong data entry skills with high accuracy; ability to type quickly and proofread documents meticulously.
Demonstrated ability to handle confidential information responsibly while managing multiple priorities efficiently.
Prior experience as a personal or virtual assistant is advantageous but not required; training will be provided for the right candidate.
