Position Overview
A real estate and capital markets firm located in Oshkosh, Wisconsin is seeking a highly organized, professional, and proactive Executive Assistant to support senior leadership and assist with a wide range of administrative, operational, financial, client-facing, and project coordination responsibilities. This is a full-time position with a salary range of $65,000–$75,000 annually, commensurate with experience and qualifications, plus benefits. This role requires strong judgment, discretion, attention to detail, and the ability to manage competing priorities in a fast-paced business environment. The ideal candidate will have prior experience supporting executives, preferably within real estate, working as a paralegal, investment, capital markets, hospitality, property management, legal, banking, development, or professional services.
Key Responsibilities
The Executive Assistant will provide high-level administrative support to firm leadership, including lease administration, correspondence, and daily workflow organization. Responsibilities include preparing documents, reports, presentations, meeting materials, investor communications, internal correspondence, and confidential business records. This position may also assist with real estate transactions, capital markets activities, lender and investor communications, due diligence organization, property-related documentation, and project tracking. The role will involve coordinating meetings with internal teams, outside counsel, lenders, investors, brokers, vendors, consultants, hospitality partners, property teams, and other business partners. The Executive Assistant will help track deadlines, follow up on action items, maintain organized files, and ensure leadership is prepared for meetings and commitments. Additional duties may include supporting property, development, acquisition, financing, and asset management activities; maintaining contact databases; processing expenses; coordinating signatures; assisting with special projects; and helping improve administrative systems and office processes.
Essential Qualifications
Candidates must have a minimum of 5–7 years of executive assistant, senior administrative, office management, or comparable professional support experience. Paralegal experience is a huge plus. The successful candidate must demonstrate excellent written and verbal communication skills, strong organizational abilities, sound professional judgment, and the ability to handle confidential information with discretion. Experience in real estate, capital markets, finance, banking, private equity, investment management, law, construction, development, hospitality, property management, or another professional services environment is strongly preferred.
Required Skills
The ideal candidate will be highly detail-oriented, dependable, resourceful, and comfortable working independently. Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint, is required.Candidates should be able to manage multiple priorities, anticipate executive needs, communicate professionally with high-level stakeholders, and maintain a polished and service-oriented presence.
Preferred Experience
Preferred qualifications include prior experience supporting C-level executives, ownership groups, investment teams, real estate developers, asset managers, hospitality executives, or finance professionals. A background in hospitality, corporate housing, property management, or guest/client service-oriented operations is a plus. Experience with Yardi CRM is also a plus. Familiarity with real estate transactions, loan documents, investor reporting, acquisitions, dispositions, leases, closing checklists, due diligence materials, CRM systems, and property management software is highly desirable.

Compensation and Benefits
