Full Job Description

KDR Wood Design is a growing, family-owned custom millwork and cabinetry company committed to quality craftsmanship, attention to detail, and exceptional customer service. We are seeking a highly organized, dependable, and detail-oriented Office Administrator to help keep the day-to-day operations of our custom cabinetry and millwork business running smoothly.

This position is a key part of the KDR team and will work closely with ownership, the shop manager, designers, employees, contractors, vendors, and customers. The ideal candidate is someone who takes initiative, communicates well, stays organized, and can manage multiple priorities without losing attention to detail.

The Office Administrator will oversee administrative operations, customer communication, purchasing and receiving, employee administration, scheduling support, estimating assistance, and general office organization.

Key Responsibilities

Office & Administrative Management

Manage day-to-day office operations and keep the office organized and efficient.
Answer and direct incoming phone calls, emails, and customer inquiries.
Maintain company records, files, documents, and project information.
Assist ownership and management with administrative tasks and special projects.
Maintain calendars, appointments, meetings, and important deadlines.
Order office supplies and maintain appropriate office inventory.
Help establish and maintain organized administrative systems and procedures.

Customer & Contractor Communication

Serve as a professional point of contact for customers, builders, contractors, and vendors.
Respond to customer phone calls and emails in a timely and professional manner.
Provide customers and contractors with project updates and requested information.
Help resolve routine customer questions and communicate issues to management when necessary.

Purchasing & Receiving

Assist with ordering cabinetry materials, hardware, lumber, finishing products, and other project materials.
Maintain organized records of purchases and material receipts.

Scheduling & Production Support

Work closely with the Shop Manager to help maintain the production schedule.
Assist with scheduling jobs, deliveries, installations, and subcontractors.
Track project deadlines and communicate upcoming requirements to the appropriate employees.
Help ensure materials are ordered and available when needed for production.
Coordinate information between the office and shop to minimize delays and miscommunication.
Assist with maintaining accurate project status information.

Human Resources & Employee Administration

Assist with new employee onboarding and maintaining employee records.
Help coordinate new-hire paperwork and company orientation.
Maintain attendance and timekeeping records.
Assist management with employee documentation and routine HR administration.
Help communicate company policies and procedures to employees.
Coordinate employee-related paperwork, benefits information, and other administrative needs.
Maintain confidentiality of employee and company information.

Additional Responsibilities

Assist with accounts payable and accounts receivable administration.
Help collect and organize vendor invoices and receipts.
Assist with credit card and expense documentation.
Maintain organized digital and physical filing systems.
Help prepare reports and information requested by ownership.
Assist with inventory tracking and administrative portions of job costing.
Support ownership and management with projects that improve company organization and efficiency.
Perform other duties as reasonably assigned.

Preferred Qualifications

2+ years of office administration, construction administration, project coordination, or similar experience.
Experience in construction, cabinetry, woodworking, manufacturing, or a related industry is preferred.
Experience with estimating, purchasing, scheduling, or project management is a plus.
Experience with QuickBooks or similar accounting software is a plus.
Strong Microsoft Office/Google Workspace skills.
Experience working with contractors, vendors, or customers is preferred.

What Success Looks Like

Success in this position means the office stays organized, customers and contractors receive timely communication, materials are ordered and received correctly, employees have the information they need, and projects move through the company with fewer delays and fewer administrative mistakes.

The Office Administrator should become the central organizational point of the company, helping connect the office, shop, customers, vendors, and management.

Position Expectations

This is a hands-on position in a growing custom cabinetry and millwork company. The right person will be expected to take ownership of their responsibilities, identify problems before they become larger issues, and continuously look for ways to improve KDR's systems and organization.

Pay: $18.00 - $25.00 per hour
