Job Overview

We are seeking a dynamic and highly organized Office Manager & Personal Assistant to streamline daily operations and provide exceptional support to our executive team. This energetic role combines office management with personal assistance, ensuring the smooth functioning of administrative processes, vendor relations, event planning, and team coordination. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent communication skills, proactive problem-solving, and a passion for creating an efficient workplace. Duties

Oversee daily office operations, including front desk management, multi-line phone systems, filing, and clerical tasks to maintain a professional and welcoming environment
Manage calendars, schedule appointments, coordinate meetings, and organize events to optimize executive and team productivity
Supervise administrative staff and coordinate training & development initiatives to foster a high-performing team atmosphere
Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers
Assist with human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processing using QuickBooks or similar accounting software
Support medical or specialized office management tasks as needed, including patient or client scheduling and record keeping
Manage budgeting and bookkeeping activities to ensure financial accuracy and accountability
Coordinate travel arrangements, prepare itineraries, and handle expense reports for executives and staff
Maintain confidentiality of sensitive information while demonstrating excellent phone etiquette and communication skills

Requirements

Proven experience in office management, administrative support, or clerical roles within a professional environment
Supervising experience with the ability to lead teams effectively
Strong organizational skills with keen attention to detail in scheduling, filing, and record keeping
Proficiency in QuickBooks or comparable financial software for bookkeeping and payroll tasks
Experience with event planning and vendor management to coordinate meetings, conferences, or company events
Knowledge of human resources procedures including onboarding, training & development programs
Familiarity with medical office management or specialized office environments is a plus
Excellent communication skills—both verbal and written—with professional phone etiquette
Ability to multitask efficiently while managing calendar schedules and handling multiple priorities simultaneously
Demonstrated ability to manage budgets effectively and perform basic bookkeeping tasks
