Full Job Description

Position SummaryThe Intake Coordinator serves as a primary point of contact for referrals to Sunflower House’s Child Assessment Program and coordinates forensic interview services for children when there are concerns or allegations of abuse. The position works closely with children, caregivers, Child Assessment Program staff, and multidisciplinary team (MDT) partners to ensure referrals are handled promptly, professionally, and in accordance with the current Sunflower House Protocol.The Intake Coordinator completes initial intake and case documentation, coordinates scheduling among families and partner agencies, helps families prepare for their appointments, and identifies and assists with barriers that may affect a family’s ability to access services. The position maintains accurate and confidential client records and provides family advocacy support as needed.The Intake Coordinator also provides administrative support to the Child Assessment Program Director and assists with front desk and agency coverage as needed.Essential ResponsibilitiesIntake and Program Coordination

Receive and process referrals for forensic interviews and extended forensic interviews in accordance with the current Sunflower House Protocol.
Coordinate and schedule forensic interviews with children and caregivers, child protective services professionals, law enforcement, and other relevant multidisciplinary team partners in a timely and responsive manner.
Collaborate with multidisciplinary team partners and Child Assessment Program staff regarding the urgency and appropriate scheduling of referrals, including emergency and non-emergency cases.
Exercise sound judgment within established protocols when prioritizing and scheduling forensic interviews and consult with the Child Assessment team when additional assessment or interviews may be appropriate.
Complete accurate and thorough intake documentation for children referred for concerns or allegations of physical or sexual abuse, gathering relevant information prior to the scheduled interview.
Contact caregivers prior to appointments to welcome and prepare families for their visit, provide directions and appointment information, answer appropriate questions, and identify barriers that could prevent attendance.
Communicate relevant intake information to Child Assessment Program, medical, and multidisciplinary team professionals while maintaining appropriate confidentiality.
Provide family advocacy services for late-afternoon appointments and serve as backup for family advocacy services as needed.
Provide appropriate supervision and support to children in waiting areas when needed, including children who may require additional monitoring, reassurance, or accommodation.

Case Documentation and Confidentiality

Create new cases and accurately enter intake and case information into Guardify and other designated case-management systems.
Maintain accurate, timely, and complete client records in accordance with agency policies, applicable laws, accreditation standards, and confidentiality requirements.
Compile, distribute, and monitor internal client records while protecting the confidentiality, privacy, and dignity of children and families.
Coordinate the collection of case-tracking information from multidisciplinary team partners and update records as additional or more accurate information becomes available.
Maintain processes for tracking access to and use of confidential client information in accordance with agency policies.
Respond appropriately to authorized requests from Child Assessment Program staff and multidisciplinary team partners for client information and records.

Administrative and Agency Support

Provide administrative support to the Child Assessment Program Director as requested.
Maintain and update referral resources, program materials, agency handouts, and related information.
Provide backup coverage for the front desk, including answering phones, greeting visitors, responding to general inquiries, and providing family room coverage as needed.
Respond appropriately to calls and walk-in inquiries from the public and provide information and referrals regarding child abuse and neglect and Sunflower House programs and services.
Participate in relevant continuing education, committee meetings, conferences, multidisciplinary team activities, and other professional development opportunities as requested.
Maintain current knowledge of issues, best practices, and emerging trends related to child abuse, neglect, child advocacy, and the responsibilities of the position.
Participate in agency meetings, events, and activities as appropriate.
Perform other duties consistent with the responsibilities and purpose of the position as assigned.

QualificationsEducation and Experience

Minimum of two years of post-secondary education in social work, human services, child and family services, criminal justice, psychology, or a related field from an accredited institution.
Minimum of two years of relevant experience in child welfare, child advocacy, social services, victim services, or a related setting.
Bachelor’s degree in social work, human services, psychology, criminal justice, or a related field preferred.
Experience working with multidisciplinary teams, child protective services, law enforcement, child advocacy centers, or related systems preferred.

Knowledge, Skills, and AbilitiesThe successful candidate will demonstrate:

Knowledge of child welfare, child protective services, legal systems, and community-based resources.
Basic understanding of case coordination, crisis intervention, trauma-informed practices, and family advocacy.
Strong interpersonal skills and the ability to communicate professionally and compassionately with children, caregivers, multidisciplinary team partners, colleagues, and members of the public.
Excellent organizational skills with the ability to coordinate multiple schedules, priorities, deadlines, and sources of information.
Strong attention to detail and commitment to accurate and timely documentation.
Proficiency with computers, databases, electronic case-management systems, and data entry.
Excellent verbal and written communication skills.
Sound judgment and the ability to respond calmly, appropriately, and effectively in stressful or crisis situations.
Ability to work both independently and collaboratively as part of a multidisciplinary team.
Ability to maintain professional boundaries and safeguard highly sensitive and confidential information.
Ability to provide respectful, culturally responsive, and trauma-informed services to children and families from diverse backgrounds and circumstances.
Commitment to ongoing professional development and maintaining current knowledge regarding child abuse, neglect, child advocacy, and related best practices.
Commitment to advancing the mission, values, and program goals of Sunflower House.

Physical, Environmental, and Other RequirementsThe position requires the ability to:

Routinely lift and carry up to 25 pounds.
Sit, stand, bend, stoop, and move throughout the facility as necessary to perform essential job responsibilities.
Work effectively in an environment that may involve stressful, sensitive, or emotionally challenging situations requiring sound judgment and timely decision-making.
Effectively use computers, telephones, databases, office equipment, and other tools and technology necessary to perform the essential functions of the position.
Travel locally and regionally as required for job responsibilities.
Maintain a valid driver’s license when driving is required as part of assigned job duties.
