Ministry Assistant (Care)Our Mission:

Primary Description

The Ministry Assistant provides administrative, systems, calendar, communication, and logistical support to the Senior Executive Director of Care and Special Events, while also supporting the Manager of Diaconate & Care.

This role serves as a key operational partner by helping manage ministry systems, coordinating schedules, maintaining databases, supporting event logistics, processing financial documentation, and ensuring ministry environments are organized and executed with excellence.

The Ministry Assistant thrives behind the scenes, helping ministries run smoothly through strong attention to detail, proactive communication, and exceptional organizational skills.

Status: Part-Time/Non-Exempt (Up to 28 hours/week)
Department/Ministry: 771 – Care People (CARE)
Line of Accountability: Senior Executive Director of Care & Special Events

Core ResponsibilitiesSystems & Database Administration

● Maintain Planning Center Online databases, lists, tags, profiles, forms, workflows, and automations

● Manage registrations, attendance tracking, reporting dashboards, and ministry records

● Support membership workflows and Point of Care (POC) processes

● Maintain ministry documentation and operating procedures

● Assist with Planning Center Services scheduling and template updates

Calendar & Scheduling Coordination

● Assist with maintaining ministry calendars and event schedules

● Create and edit calendar events, registrations, and room reservations

● Coordinate scheduling for:

○ Meal trains

○ Hospital visits

○ Weekly prayer teams

○ Baptism volunteers

○ Communion volunteers

○ Membership gatherings

○ Care ministry initiatives

● Support room scheduling and logistics for ministry events

Communication & Project Management

● Manage and maintain Clearstream communication lists

● Schedule ministry communications and reminders

● Support project management workflows through Basecamp and related tools

● Track tasks, deadlines, and follow-up items

● Ensure ministry communication is timely and accurate

Event & Ministry Logistics

● Assist with planning and coordinating ministry events and gatherings

● Support event registrations and attendee communications

● Prepare event materials, check-in processes, and ministry resources

● Assist with setup coordination and logistical details

● Support funeral, baptism, membership, and special ministry environments

● Coordinate flower orders, printed materials, and ministry supplies as needed

Financial & Administrative Support

● Process invoices, receipts, reimbursements, and disbursement requests

● Maintain ministry budget tracking spreadsheets

● Assist with payment processing and financial recordkeeping

● Support counseling invoice administration

● Organize files, records, and ministry documentation

General Administrative Support

● Provide administrative support to Care and Special Events leadership

● Maintain organized records and filing systems

● Create and update training documents and “how-to” guides

● Assist with ministry reporting and data management

● Perform other related duties as assigned

Credentials (Educational & Professional Requirements)

● EXPERIENCE:

○ 2-4 years of administrative, ministry, event, or operations support experience preferred.

○ Experience working with databases, scheduling systems, registrations, or CRM platforms preferred.

○ Church or non-profit experience is a plus.

● EDUCATIONAL:

○ High school diploma required

○ Associate’s or Bachelor’s degree preferred.

● SYSTEM/SOFTWARE:

Experience with or ability to learn:

○ Google Workspace

○ Planning Center online

○ Clearstream

○ Basecamp

○ HoneyBook

○ Brushfire

○ Other ministry management software platforms.
