Job Title: Office Manager – Construction (QuickBooks Required) Company: Standard Exteriors / Standard Roofing & Contracting Location: Tulsa, OK Job Type: Full-Time Pay: $35,000–$65,000/year (DOE)

Standard Exteriors is a fast-growing exterior contracting company based in Tulsa, OK specializing in roofing, siding, gutters, windows, and insurance restoration work. We operate in a high-volume, deadline-driven environment and take pride in delivering quality results for homeowners and commercial clients alike. We're looking for a sharp, organized Office Manager to keep our operations running smoothly from the inside out.

Job Summary

The Office Manager will serve as the operational backbone of our office — managing day-to-day administrative functions, supporting project coordination, handling financial data entry and reporting, and acting as the primary point of contact for vendors, clients, and field staff. This role requires someone who thrives in a fast-paced construction environment and can juggle multiple priorities without dropping the ball.

Key Responsibilities

Manage all office operations including phones, scheduling, filing, and correspondence
Process invoices, payments, estimates, and job cost tracking using QuickBooks
Coordinate with project managers and field crews to support job scheduling and material orders
Assist with insurance claim documentation, supplements, and communication with adjusters
Maintain vendor and subcontractor records, certificates of insurance, and contracts
Track accounts receivable/payable and generate financial reports for ownership
Onboard new employees and maintain personnel files
Manage job tracking in CRM software (AccuLynx experience a plus)
Order office supplies and maintain office systems and equipment
Support the owner and management team with administrative tasks as needed

Required Qualifications

QuickBooks proficiency is required (Desktop or Online — must be able to hit the ground running)
2+ years of office management or administrative experience, preferably in construction, roofing, or a trade business
Strong organizational skills and attention to detail
Proficiency in Microsoft Office (Word, Excel, Outlook)
Excellent written and verbal communication skills
Ability to work independently and manage competing priorities
Professional demeanor when interacting with clients, subcontractors, and insurance professionals

Preferred Qualifications

Experience in roofing, siding, or exterior contracting
Familiarity with AccuLynx or similar construction CRM
Knowledge of insurance restoration processes and Xactimate terminology
Experience processing or supporting supplement claims
