ESN Group is the maker of Earth Science and Ceramedx, trusted brands offering nature-inspired skin, body, and hair care products. We are seeking a highly organized, customer-focused professional to support order management, customer service, and sales operations. This role is critical to ensuring a seamless experience for our retail partners, distributors, brokers, and consumers while supporting the day-to-day operations of our growing business.

Position Summary

The Order Management & Customer Service Coordinator serves as a key point of contact for customers, sales partners, and internal teams. This position is responsible for managing order flow, resolving customer inquiries, coordinating with distributors and fulfillment partners, and supporting a variety of sales and operational initiatives.

The ideal candidate is detail-oriented, proactive, and comfortable balancing multiple priorities in a fast-paced environment. Strong communication skills, a service-oriented mindset, and the ability to troubleshoot issues independently are essential.

Key Responsibilities

Order Management & Sales Support

Process and manage customer orders, purchase orders, credits, and returns with a high degree of accuracy.
Monitor order status, inventory availability, and fulfillment timelines to ensure timely delivery.
Coordinate with warehouse, distribution, and sales teams to resolve order discrepancies and shipping issues.
Maintain customer pricing, promotional discounts, and account information.
Assist retailers, distributors, brokers, and sales partners with order-related inquiries and requests.
Support order tracking, reporting, and account maintenance activities.

Customer Service

Serve as the primary point of contact for customer inquiries via phone, email, and other communication channels.
Provide product information, order updates, and resolution to customer concerns.
Process returns, credits, and replacements in accordance with company policies.
Deliver a positive customer experience while maintaining professionalism and brand standards.

Product & Administrative Support

Maintain product information, specifications, and internal documentation.
Assist with inventory monitoring and product availability reporting.
Prepare product samples, marketing materials, and promotional items for sales initiatives, trade shows, and customer requests.
Support administrative projects and cross-functional initiatives as needed.
Assist with general office support and operational coordination.

Operational Coordination

Maintain accurate records and documentation within company systems.
Generate reports and assist with data management activities.
Identify opportunities to improve processes, workflows, and customer experience.
Collaborate closely with sales, marketing, operations, and leadership teams to support business objectives.

Qualifications

Required

2+ years minimum of experience in customer service, order management, sales support, administrative support, or a related role.
Strong organizational skills and exceptional attention to detail.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office (Excel, Outlook, Word) and business software platforms.
Ability to prioritize multiple projects and meet deadlines with minimal supervision.
Demonstrated ability to work independently while contributing effectively within a team environment.

Preferred

Bachelor's degree preferred.
Experience in consumer packaged goods (CPG), beauty, personal care, natural products, or related industries.
Experience working with distributors, brokers, retailers, or wholesale accounts.
Familiarity with ERP, inventory management, Shopify, or order management systems.
Exposure to marketing, e-commerce, or brand support functions is a plus.
Experience working in a small business or entrepreneurial environment is highly desirable.

Position Details

Part-Time or Full-Time: 20–32 hours per week
Schedule: Monday–Thursday, 7:30 a.m.–4:00 p.m. (flexibility available)
Location: On-site in Ventura, California
