Full Job Description

Owner Services is a reception/ administrative assistant role.

Department: Administration
Reports To: General Manager and Chief of Staff
Position Summary

Owner Services serves as the primary point of contact for owners, guests, residents, vendors, and prospective purchasers at Pinnacle Port Community Association. This position is responsible for providing exceptional customer service while assisting owners with account inquiries, governing documents, amenity information, gate access, communication requests, billing matters, and general association operations.

The ideal candidate must possess strong organizational skills, professionalism, attention to detail, and the ability to effectively communicate with individuals from diverse backgrounds in a fast-paced environment.

Essential Duties and Responsibilities

Serve as the first point of contact for owners, residents, guests, vendors, realtors, and prospective purchasers.
Respond to phone calls, emails, and in-person inquiries in a courteous, professional, and timely manner.
Assist owners with questions regarding association policies, governing documents, amenities, services, and general property information.
Maintain owner records, contact information, account documentation, and other association files.
Maintain the Association’s owner’s portal. This includes setting up new owners, updating files and pictures, and general editing as needed/requested.
Maintain the calendar, contracts, and financial records for the Sunset Room.
Coordinate access credentials, gate systems, parking registrations, and visitor requests.
Manage communications through Condo Control and other association platforms, including correspondence, notices, and community announcements.
Provide administrative support for board meetings, owner meetings, association events, and special projects. Will be required to attend Annual Homeowners’ Meeting.
Work closely with maintenance, security, accounting, and management staff to address owner concerns and ensure efficient operations.
Assist owners and prospective buyers with obtaining association documents and related information.

Billing and Owner Account Responsibilities

Process and manage owner billing, assessments, fees, and other charges in accordance with association policies and procedures.
Receive, record, and accurately apply all payments made to the Association, including dues, special assessments, and other charges. (via in person, mail, Condo Control and Web Vault) and post into QuickBooks.
Review owner accounts to ensure payments are properly documented and posted. Provide weekly AR report to Accountant for review.
Assist owners with payment histories, account inquiries, outstanding balances, and billing questions.
Prepare and distribute invoices, account statements, late notices, payment reminders, and other account-related communications.
Proactively communicate with owners to ensure reminders and notices are delivered in a timely manner.
Maintain the confidentiality and accuracy of all financial and owner information.

Additional Responsibilities

Perform filing, scanning, data entry, and other clerical duties as assigned.
Perform business-related errands for the Association, including visits to banks, post offices, government agencies, vendors, and other locations necessary to support operations.
Provide support during emergencies, storms, and other operational needs.

Qualifications

High school diploma or equivalent required; associate degree preferred.
Minimum of two years of experience in customer service, hospitality, office administration, property management, accounts receivable, or a related field preferred.
Strong verbal and written communication skills.
Proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.
Proficiency in QuickBooks Desktop is required, including the ability to process payments, review owner accounts, generate reports, and maintain accurate financial records.
Ability to learn property management software and communication platforms.
Valid driver's license with an acceptable driving record.
Excellent organizational, multitasking, and problem-solving abilities.
Ability to handle sensitive matters with professionalism and maintain confidentiality.
Strong attention to detail.
Pre-Employment Drug Screening and Background check is required
