Position Summary

Otoki America is seeking a highly organized and proactive General Affairs Associate to support our internal operations and create a positive, efficient office environment. This entry-level role plays an integral part in administrative and facilities support, procurement, vendor coordination, and policy compliance. You will gain broad exposure to essential business functions and help build a workplace where our employees can focus, thrive, and feel supported.

Key Responsibilities

Office Administration & Facilities Management

- Manage daily office operations to ensure an organized, efficient, and well-maintained workplace.

- Proactively monitor and replenish inventory for office, kitchen/pantry (including the company ramen bar), warehouse, and breakroom supplies.

- Serve as the primary liaison with property management to report issues, submit maintenance requests, and coordinate building repairs and contractor access.

- Support employee services such as seating arrangements, ID badges, equipment logistics, and basic IT coordination (e.g., password resets, printer access).

Procurement & Vendor Management

- Manage the purchasing lifecycle for office, warehouse, and operational supplies: obtain quotes, compare pricing/quality, and track delivery.

- Serve as the primary point of contact for external vendors, contractors, utility companies, and service providers.

- Monitor vendor performance, ensure work meets company expectations, and maintain professional relationships.

Accounts Payable & Contract Administration

- Process vendor invoices using SAP, verifying accuracy, confirming receipt of goods/services, and resolving any discrepancies prior to payment.

- Manage the contract management system, keeping records up to date and making recommendations for renewals or terminations.

- Organize and maintain company documents, service agreements, and compliance records.

Fleet Administration & Logistics

- Manage company fleet compliance, including DMV registrations, renewals, and scheduling vehicle maintenance/repairs.

- Coordinate incoming/outgoing mail, courier shipments, freight logistics, and distribute deliveries to appropriate departments.

Special Projects & Compliance (As needed)

- Facilitate communication and administrative coordination for major real estate transitions, such as the Walnut Creek lease project.

- Provide cross-functional administrative support to Management, Human Resources, and Operations on ad-hoc initiatives.

Qualifications

- Education: Bachelor’s degree in Business, Management, or a related field.

- Experience: 0–3 years of experience; entry-level applicants beginning their careers are highly encouraged to apply.

- Language: Must be strictly bilingual in English and Korean (ability to speak, read, interpret, and write business documents in both languages).

- Skills: Strong organizational, communication, and problem-solving skills with the ability to handle multiple priorities independently.

- Technical: Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint). Familiarity with SAP is a plus.

주요 업무

- 사무실 및 시설 관리

- 체계적이고 효율적인 업무 환경 유지를 위한 일상적인 사무실 운영 및 관리

- 사무용품, 탕비실(사내 라면 바 포함), 창고 및 휴게실 비품 재고 모니터링 및 보충

- 건물 관리 업체(Property Management)와의 주요 연락 담당자로서 시설 문제 보고, 유지보수 요청, 수리 및 외부 작업자 출입 조정

- 자리 배치, 사원증 발급, 장비 지원 및 기본 IT 관련 업무(비밀번호 재설정, 프린터 연결 등) 등 직원 서비스 지원

구매 및 협력업체 관리

- 사무실, 창고 및 운영 자재에 대한 구매 프로세스 관리 (견적 확보, 단가/품질 비교, 배송 추적 등)

- 외부 협력업체, 계약업체, 공과금 관련 기관 및 서비스 제공업체와의 주요 연락망 역할 수행

- 협력업체의 서비스 품질을 모니터링하고 회사의 기준에 부합하는지 확인하며 원활한 관계 유지

비용 처리 및 계약 관리

- SAP를 활용한 협력업체 인보이스 처리 (결제 전 정확성 검토, 물품 수령 및 서비스 완료 여부 확인, 청구 불일치 문제 해결)

- 계약 관리 시스템을 운영하여 모든 기록을 최신 상태로 유지하고 계약 연장 및 해지 관련 검토 지원

- 회사 문서, 서비스 계약서 및 컴플라이언스 관련 기록의 정리 및 유지보수

차량 및 물류 관리

- 회사 소유 차량의 DMV 등록, 갱신 및 유지보수/수리 일정 조율 등 차량 관련 행정 업무 관리

- 수발신 우편물 및 택배 관리, 화물 배송 조율 및 각 부서로의 정확한 물품 전달

특수 프로젝트 및 컴플라이언스

- 오피스 임대 등 주요 부동산 관련 커뮤니케이션 및 행정 업무 조율

- 경영진, 인사부(HR) 및 운영 부서의 다목적 프로젝트 및 실무 지원

자격 요건

- 학력: 비즈니스, 경영 또는 관련 분야 학사 학위 소지자
