Full Job Description

The Administrative Support Specialist provides comprehensive administrative support to the Executive Director and Director of Corporate Compliance. This position serves in a dual administrative role, assisting with day-to-day departmental operations, employee records and documentation, compliance-related administrative activities, recruitment support, and special projects while also providing direct administrative assistance to the Executive Director.

The ideal candidate is highly organized, detail-oriented, dependable, professional, and able to manage confidential information appropriately. This position requires the ability to prioritize multiple responsibilities, maintain accurate records, communicate effectively with employees and leadership, and work independently while recognizing when additional direction or assistance is needed.

Essential Duties and Responsibilities

Executive Director Administrative Support

Provide direct administrative support to the Executive Director.
Assist the Executive Director with daily administrative needs, organization, correspondence, and follow-up.
Prepare, organize, format, and maintain documents, reports, correspondence, and other materials as requested.
Assist with scheduling meetings, appointments, and other activities as directed.
Coordinate meeting materials, agendas, handouts, and other documentation as needed.
Maintain organized electronic and paper files for the Executive Director.
Assist with tracking assignments, deadlines, follow-up items, and requests made by the Executive Director.
Prepare correspondence and communications on behalf of the Executive Director as directed.
Assist with organizing information and materials needed for meetings, presentations, audits, reviews, and organizational activities.
Serve as an administrative point of contact for matters assigned by the Executive Director and appropriately route questions or requests to the appropriate individual.
Assist with special projects and organizational initiatives assigned by the Executive Director.
Maintain confidentiality and exercise appropriate discretion when handling sensitive organizational, employee, financial, or leadership information.

Human Resources & Corporate Compliance Administrative Support

Provide administrative support to the Director of Corporate Compliance & Human Resources.
Maintain accurate and organized electronic and paper personnel records, including scanning, uploading, filing, organizing, and archiving documents.
Assist with employee status changes, including new hires, transfers, job changes, wage changes, terminations, and changes in supervisors.
Assist with new-hire administrative processes, including entering employee information into applicable systems, completing required reporting, and maintaining new-hire documentation.
Assist with termination processes, including updating applicable systems and moving records to appropriate terminated-employee files.
Assist with annual and periodic background checks, driver checks, CANTS checks, driver checks, attestations, and other compliance-related administrative requirements.
Assist with preparing and maintaining OP resumes and other required organizational documentation.
Maintain tracking spreadsheets and other administrative records related to recruitment, new hires, applications, terminations, and other HR activities.
Order employee badges, business cards, and other administrative materials as needed.
Assist with other administrative and compliance projects as assigned.

General Administrative Responsibilities

Answer, receive, and direct telephone calls, messages, correspondence, and other communications in a professional manner.
Communicate professionally and courteously with employees, applicants, supervisors, leadership, vendors, and members of the public.
Maintain accurate, timely, and organized records.
Monitor assigned tasks and follow up to ensure deadlines and requirements are met.
Assist with coordination of organizational events and employee activities as assigned.
Maintain appropriate confidentiality regarding employee, organizational, and leadership information.
Demonstrate professionalism and represent the organization positively in all interactions.
Follow organizational policies, procedures, and applicable confidentiality requirements.
Attend required meetings and training.
Perform other duties and special projects as assigned.

Ability to communicate effectively with employees at all levels of the organization.
Ability to exercise sound judgment regarding routine administrative matters and appropriately escalate issues when necessary.

Education and Experience

Required:

High school diploma or equivalent.
Previous administrative, clerical, office, or customer service experience.
Demonstrated ability to maintain organized records and complete detailed administrative tasks accurately.

Preferred:

Associate degree or additional education in business administration, human resources, office administration, or a related field.
Previous experience in Human Resources, healthcare, behavioral health, nonprofit, or compliance-related environments.
Experience working with electronic HR, payroll, applicant tracking, or document management systems.

Physical Requirements

The position requires the ability to perform routine office duties, including sitting for extended periods, operating a computer and other office equipment, communicating by telephone and in person, and occasionally lifting or moving office materials and supplies.

Confidentiality

This position will have access to confidential employee, Human Resources, Corporate Compliance, and Executive Office information. The Administrative Assistant is expected to maintain strict confidentiality and exercise discretion in the handling, storage, transmission, and discussion of confidential information.

Pay: $38,000.00 - $40,000.00 per year
