Overview

We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the friendly face and efficient support system that keeps daily activities running seamlessly. Your proactive attitude and excellent organizational skills will contribute to a productive workplace where everyone can thrive. Duties

Manage multi-line phone systems, answer inquiries promptly, and direct calls with professionalism and courtesy
Perform data entry tasks with accuracy using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Handle front desk responsibilities including greeting visitors, managing appointments, and maintaining a welcoming environment
Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents
Support office management tasks such as calendar management, scheduling meetings, and coordinating appointments
Assist with client communication and customer support to ensure positive interactions and timely responses
Utilize technical proficiency in computer skills to troubleshoot basic issues and improve office workflows

Experience

Previous clerical or administrative experience in an office setting is preferred
Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
Experience managing multi-line phone systems and providing excellent phone etiquette
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Strong organizational skills with attention to detail in proofreading, filing, and data entry tasks
Knowledge of QuickBooks or similar accounting software is advantageous for handling basic financial documentation
Personal assistant or office management experience will be considered a valuable asset
