About the Firm

We are a well-established boutique law firm headquartered in Monterey Park, California, with a practice spanning family law, estate planning, civil and business litigation, and intellectual property matters. Our team takes pride in delivering thoughtful, responsive, and high-quality service to our clients and to one another. Reporting to the Director of Operations, this position will be responsible for the general management of the front office, including but not limited to reception, mail, conference rooms, and general office operations support. The ideal candidate will have excellent communication skills, be organized, detail-oriented, a self-starter, a fast learner, and able to solve problems while taking direction from various sources. This role will have a direct impact on our colleague, client, and vendor experience. Ability to notice and attend to details, taking small but thoughtful actions and interactions that create a culture of support, service, and teamwork is key.

Job Duties

· General Office Management – keeping with and reinforcing our commitment to superior brand image guidelines. These duties include but are not limited to maintaining cleanliness of general office areas and supply areas, preparing/resetting meeting spaces/conference rooms, and maintaining our reception and lobby areas. Lead by example in setting the tone for our environment and challenge others to do the same.

· Be familiar with company policies, procedures, and systems, providing general guidance and support to colleagues, and directing them to available resources as appropriate.

· Responsible for partner/vendor relations for office services such as IT, janitorial services, office equipment, utilities, and catering.

· Partner with IT to address issues as needed, ensuring minimal distraction/inconvenience to the firm.

· Responsible for inventory management and ordering of office supplies, office beverage and food pantry supplies, and first aid needs, maintaining these processes in an organized, detailed manner.

· Support special projects, events, and company communications as needed, including team meetings, onsite events, holiday events, and any administrative project requiring support on an ad hoc basis.

· Participate as a flexible member of the Operations and Admin teams and the broader organization, always looking for ways to improve, raising questions when in doubt, and promoting an environment of service, fun, and harmony.

· Manage the reception area and greet visitors as needed, focusing on world-class customer service and ensuring guests are greeted warmly. Address customer issues professionally with a win/win mindset and escalate as needed.

· Coordinate and maintain office calendars; proactively communicate key dates and events to those impacted, and provide follow-up as needed.

· Demonstrate tenacious, creative, resourceful problem-solving skills to resolve competing demands, with excellent customer service in all communications.

· Manage all outgoing and incoming mail, ensuring proper mail is scanned and sent to the appropriate recipients, and identify process improvement opportunities as the needs of the business evolve.

· Support the execution of onboarding and training of new colleagues.

· Support the supervision of interns and internship program(s).

· Other duties as assigned.

Minimum Requirements

· 1 year of customer service experience.

· Bilingual in Mandarin and English (fluent, written and spoken) required.

· 1 year of Microsoft Office Suite experience – Outlook, Word, Excel, and PowerPoint.

Preferred Experience/Skills

· 2+ years of office management or administrative experience in a fast-paced, dynamic corporate setting.

· Ability to work independently as well as part of a cohesive team; willing to go above and beyond – always looking to improve process, efficiency, and support to the business.

· Impeccable interpersonal acumen – able to interface with ease with all colleagues and visitors respectfully and professionally.

· Excellent attention to detail.

· Excellent written and verbal communication skills, even under pressure and when navigating ambiguity and challenge.

· Ability to thrive in a fast-paced, ever-changing, colleague/customer-centric environment.

· Competent with conflict resolution and defusing escalated situations as needed.

· Avid problem solver – able to create win-win situations using limited resources.

Addendum

For colleagues who wish to be cross-trained to perform Legal Assistant duties, the candidate will be held accountable, first and foremost, to performing and meeting expectations of the Front Office Manager duties. Legal Assistant duties and expectations will be assigned according to the candidate's performance of Front Office Manager duties and workload.

Pay: $22.00 - $32.00 per hour

Expected hours: 40.0 per week
