Full Job Description

Summary:

The Human Resources Clerk provides clerical and administrative support to the Human Resources Department. This position is responsible for maintaining accurate records, assisting with employee documentation, supporting onboarding processes, and ensuring HR files and systems are organized and up to date. The HR Clerk works under the direction of the HR Assistant, HR Lead, and HR Supervisor/Manager.

Duties and Responsibilities:

Employee Records and Documentation

Maintain and organize employee personnel files in both physical and electronic formats.
Scan, file, and upload employee documentation into company HR systems.
Ensure employee records remain accurate, organized, and compliant with company policies.
Assist with document retention and archiving procedures.

Onboarding

Prepare onboarding packets for new hires.
Collect completed employment forms and ensure documentation is complete.
Maintaining onboarding checklists.
Enter new hire information into SESO & Pick Trace systems.

Data Entry and HR Systems Support

Perform data entry for employee information into systems such as UKG, Pick Trace, SESO.
Assist with updating employee contact information, job titles, and department assignments.
Maintain spreadsheets and internal HR tracking logs.

Administrative Support

Answer and direct HR phone calls, emails, and employee inquiries.
Schedule meetings, orientations, and training sessions.
Assist with preparing HR reports and documentation when requested.
Provide clerical support to the HR Supervisor, HR Lead, and HR Assistant.

Compliance and Postings

Maintain employee bulletin boards and required labor law postings.
Assist with distributing company notices and HR communications.
Help maintain compliance documents for audits or inspections.

General Office Duties

Assist with organizing office supplies.
Maintain organized HR workspaces and document storage.
Assist with general office administrative tasks as needed.

Required Skills/Abilities:

Strong organizational and record-keeping skills.
Attention to detail and accuracy in data entry.
Ability to maintain confidentiality of sensitive employee information.
Basic knowledge of Microsoft Office (Word, Excel, Outlook).
Ability to communicate effectively with employees and team members

Education and Experience:

High school diploma or equivalent required.
Previous clerical or administrative experience preferred.
Bilingual (English/Spanish) preferred.

Certificates, Licenses, Registrations:

Current Driver's license

Physical Requirements:

While performing the duties of this Job, the employee is:

Regularly required to sit and talk or hear.
Prolonged periods of sitting at a desk and working on a computer.
The employee must occasionally lift and/or move up to 15 pounds.

Work Environment:

This position operates in a professional office environment within the company’s HR department. The employee will regularly interact with HR staff, employees, and operational management.

Travel:

Occasional travel required.
