Experience Required
- Experience with Dentrix Ascend or other dental practice management software is helpful, but we'll provide training on our systems
- Three or more years of dental insurance billing experience in a general dental practice (3–5 years preferred).
- Strong understanding of dental insurance, claim submission, pre-authorizations, EOBs, and insurance reimbursement.
- Experience providing exceptional hospitality-inspired service in a fast-paced dental or healthcare environment.
- Excellent attention to detail, organization, and follow-through.
- Strong math skills and the ability to confidently explain insurance benefits and EOBs.
- Positive, collaborative communication skills with patients and teammates.
- Strong problem-solving and critical thinking skills.
- Bilingual (English/Spanish) is a plus.
What You’ll Do as a Dental Billing Coordinator
Insurance Claims & Reimbursement
- Prepare and submit insurance claims and pre-authorizations electronically and manually with all required documentation and attachments.
- Review claims before submission to ensure complete clinical documentation is included, reducing delays and denials.
- Monitor submitted claims and proactively resolve denied, rejected, or pending claims to support timely reimbursement.
- Identify insurance trends or recurring reimbursement challenges and collaborate with the clinical team to strengthen documentation standards and improve claim approval rates.
- Assist providers in obtaining any additional clinical documentation needed to support insurance payment.
- Monitor pre-determinations and pre-authorizations to help patients move forward with treatment in a timely manner.
- Enter insurance payments accurately and maintain complete, up-to-date insurance plan notes and patient ledger documentation.
- Add new insurance plans and maintain accurate plan information within the practice management system.
- Follow secondary insurance policies to ensure claims are submitted accurately and within required timeframes.
- Help support departmental efforts to reduce insurance accounts receivable.
Patient & Team Support
- Collaborate with Patient Coordinators and the Billing Team to address outstanding patient balances before scheduled appointments.
- Communicate proactively with Patient Coordinators regarding insurance updates that may impact treatment or patient financial responsibilities.
- Mentor Front Desk team members on dental insurance concepts and best practices for patient communication.
- Support the onboarding and training of new Billing team members during Global Training.
- Monitor email and internal communications throughout the day and respond in a timely manner to support efficient practice operations.
Team Collaboration & Practice Support
- Work collaboratively with the entire practice to meet or exceed monthly goals and support the overall success of the organization.
- Generate reports, review billing metrics, and assist with department reporting as directed.
- Participate in bi-weekly Administrative Huddles and contribute ideas for improving processes and patient service.
- Complete assigned close-out responsibilities accurately and on schedule.
- Perform other duties as assigned to support the success of the Billing Department and the Practice.
Minimal Qualifications:
Education:
- High school or equivalent (Required).
- College degree preferred.
