Job Title: Bookkeeping & Administrative AssistantPosition Summary

We are seeking a detail-oriented and organized Bookkeeping & Administrative Assistant to support our daily financial and administrative operations. The ideal candidate is dependable, proactive, and experienced in bookkeeping, office administration, and customer support. This role requires excellent organizational skills, accuracy, confidentiality, and the ability to multitask in a fast-paced environment.

Key ResponsibilitiesBookkeeping

Record and maintain accurate financial transactions.
Process accounts payable and accounts receivable.
Reconcile bank and credit card statements.
Prepare invoices and monitor customer payments.
Assist with payroll processing and employee records.
Maintain organized financial records for tax preparation.
Generate financial reports and assist with monthly reconciliations.
Work with the company's accountant or CPA as needed.

Administrative Support

Answer phone calls, emails, and customer inquiries professionally.
Schedule appointments, meetings, and maintain calendars.
Prepare reports, spreadsheets, and business documents.
Organize and maintain digital and physical filing systems.
Order office supplies and manage office inventory.
Assist with data entry and record management.
Support day-to-day office operations and special projects.
Coordinate with vendors, clients, and team members.

Qualifications

High school diploma or equivalent required; Associate's degree in Accounting, Business Administration, or related field preferred.
Minimum of 2 years of bookkeeping and administrative experience.
Strong understanding of bookkeeping principles and financial recordkeeping.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Experience with accounting software such as QuickBooks, Xero, or similar.
Excellent organizational, communication, and time management skills.
Strong attention to detail and accuracy.
Ability to handle confidential information with discretion.
Ability to prioritize tasks and work independently.

Preferred Qualifications

Experience with payroll processing.
Knowledge of sales tax reporting.
Experience with cloud-based accounting systems.
Familiarity with document management and office management software.
Customer service experience.
