Full Job Description

Patient Service Representative
SUMMARY:

Position requires training and rotation in multiple rolls, front desk check in/out, appointment scheduling, switchboard operator and procedure scheduling in addition to medical office knowledge and the ability to input data accurately into computer system. Must be willing to travel to satellite offices.

DUTIES & RESPONSIBILITIES

1. Obtains current patient information from established and new patients:

a. Notes patient arrival in Practice Management System and Electronic Health Record.

b. Accurately enters/updates patient information in Practice Management system and Electronic Health Record.

c. Assists patients with completion of paperwork when necessary.

d. Scans all necessary documents into Electronic Health Record

2. Accurately pre-screens medical records:

a. Prints schedules for upcoming appointments.

b. Verifies insurance eligibility and authorizations for dates of service have been obtained.

c. Reviews Practice Management System for needed demographics and consent forms.

d. Attaches needed updated demographics and consent forms to schedule.

3. Schedules appointments:

a. Identifies patients by date of birth and name in computer system.

b. Creates new account if patient not in the system.

c. Schedules and re-schedules appointments as needed.

d. Calls No Show appointments to reschedule, makes appropriate notations in Electronic Health Record and Practice Management System.

e. Performs prescreening process for add-on appointments.

4. Protects/observes patient confidentiality per policies and procedures.

5. Scans information into Electronic Health Record:

a. Categorizes, dates, and labels loose medical documents.

b. Scans loose medical documents per protocol.

c. Accurately imports registration documents into patient’s electronic health record.

6. Demonstrates the ability to collect office charges and accurately manage cash drawer:

a. Reviews all superbills for accurate billing (procedure code, diagnosis and physician signature)

b. Collects any deductibles, coinsurances and/or copays due for specialist services.

c. Accurately reconciles charges for the day and correctly prepares daily batch deposits, reports, and superbills for the Billing Department.

d. Prints schedules for upcoming appointments.

e. Reviews schedules for any outstanding balances and/or credits for patients.

7. Routinely demonstrates superior customer service skills:

a. Answers telephone in a timely and polite manner, preferably within three rings.

b. Communicates with customers in a courteous, professional, cooperative, and mature manner.

c. Recognizes and responds appropriately to violent/abusive situations and emergencies.

d. Accurately takes messages and conveys information to recipient.

e. Transfers call / task to physicians and medical teams when medically indicated.

8. Marginal or Periodic Job Functions:

a. Performs related duties as required

b. Reads all announcements and relevant communications relating to job duties.

c. Successfully completes competency based training and testing on an annual basis.

d. Prioritizes and completes all work in an accurate, effective, and efficient manner.

e. Locks office and secures files containing money or confidential information when away for workstation.

f. Properly disposes of printed information, logs off computer when leaving workstation and keeps passwords confidential.

g. Participates in team meetings and supports philosophy of the Practice.

QUALIFICATIONS

Education/Training Level

o High School Diploma or equivalent

o 2 + years Medical Office experience in a Supervisory position

Communication Skills

o Ability to effectively interact with physicians, patients and other staff members.

o Translation for patient and provider as necessary.

Technology Skills

o Basic computer skills required

o Demonstrates knowledge of proper, safe, efficient usage of current office equipment/software.
