Front Desk & Administrative Coordinator (Part-Time)

About Great Wave Acupuncture

We pride ourselves on creating a positive experience for every patient who walks through our doors, and we believe our front desk team plays a vital role in making that happen. Our patients are wonderful, our providers are supportive, and we genuinely enjoy working together.

We're looking for someone who wants to become a valued, long-term member of our team as a Front Desk & Administrative Coordinator.

Position Overview

This is a part-time position, typically 20–30 hours per week, with all or the majority of hours scheduled on weekdays. We prefer candidates who are available to begin their workday by 9:00 AM on weekdays. Some flexibility may be available depending on the needs of the practice.

This position is the hub of our office. You'll be the first person our patients see and speak with, helping ensure that the practice runs smoothly while providing outstanding customer service and administrative support to our providers.

Previous medical office or front desk experience is strongly preferred, especially in acupuncture or another healthcare setting. We are happy to train the right candidate who is eager to learn, enjoys helping people, and is excited to grow with our practice.

Responsibilities

Welcome patients with warmth and professionalism
Answer incoming phone calls and respond to voicemails
Schedule and manage patient appointments
Check patients in and out efficiently
Collect copays and patient payments
Enter and maintain accurate patient information
Respond to emails and patient inquiries
Provide administrative support to our providers
Coordinate with our insurance billing team by verifying insurance information, obtaining referrals, and assisting with prior authorizations
Communicate with referring physician offices as needed
Help maintain an organized, efficient, and positive office environment

Preferred Qualifications

Experience with one or more of the following is highly desirable:

JaneApp practice management software or a similar healthcare practice management system
Medical or healthcare front desk experience
Familiarity with HIPAA privacy and confidentiality requirements
Health insurance terminology and patient insurance information
Prior authorizations and referrals
Electronic health records and scheduling software
Strong customer service experience, preferably in a healthcare setting
