Hobort Shipping & Logistics is a fast-growing international freight forwarding and logistics company specializing in shipping between the United States and Ghana. We provide air freight, ocean freight, vehicle shipping, auto parts sourcing, warehousing, and logistics solutions.

We are looking for an energetic, organized, customer-focused professional who enjoys wearing multiple hats and takes pride in keeping an office running efficiently.

This position is ideal for someone who thrives in a fast-paced environment and enjoys interacting with customers while maintaining accurate records and supporting daily operations.

Position Summary

The Front Office Administrator serves as the first point of contact for customers while overseeing office administration, customer service, bookkeeping support, scheduling, and general office operations.

This role is critical to ensuring customers receive exceptional service while maintaining organized financial and administrative records.

ResponsibilitiesCustomer Service

Greet walk-in customers professionally
Answer incoming phone calls
Respond to emails, WhatsApp, Facebook, and website inquiries
Assist customers with shipment status updates
Prepare shipping quotations
Create customer invoices
Receive customer payments
Resolve customer concerns professionally
Maintain excellent customer satisfaction

Front Office Administration

Open and close the office daily
Maintain organized customer files
Prepare daily reports
Manage office supplies and inventory
Schedule appointments
Coordinate with warehouse staff
Coordinate with the Ghana office
File and organize company documents
Assist management with administrative projects

Bookkeeping & Accounting Support

Record daily income and expenses
Maintain accurate financial records
Issue invoices and receipts
Track customer balances
Process payments
Reconcile daily transactions
Prepare weekly financial summaries
Assist with payroll records
Work with QuickBooks (or similar accounting software)
Support month-end bookkeeping activities

Logistics Administration

Create shipment files
Verify shipping documents
Track incoming and outgoing shipments
Coordinate pickups and deliveries
Monitor shipment schedules
Update customers throughout the shipping process
Assist with freight documentation

Office Operations

Maintain filing systems
Manage calendars
Order office supplies
Organize meetings
Keep reception area professional
Support company management with daily operational tasks

Required Qualifications

Minimum High School Diploma
Associate or Bachelor’s Degree preferred
2+ years Customer Service experience
2+ years Administrative experience
Bookkeeping experience preferred
Excellent computer skills
Strong Microsoft Office skills
Excellent written and verbal communication
Strong organizational skills
Ability to multitask
Professional appearance
Positive attitude
Reliable transportation
