Full Job Description

Position Summary

We are seeking a professional, organized, and personable Front Desk Receptionist to serve as the first point of contact for our organization. In this role, you will provide exceptional customer service while managing front desk operations and supporting daily administrative functions. The ideal candidate is dependable, detail-oriented, and thrives in a fast-paced environment. Previous experience as a medical receptionist is highly preferred.

This is a paid position offering an excellent opportunity to contribute to a collaborative team while developing your administrative and office management skills.

Key Responsibilities

Greet clients, families, visitors, and vendors in a warm, professional, and courteous manner.
Answer and manage a multi-line telephone system, directing calls accurately and efficiently.
Schedule appointments, coordinate calendars, and maintain accurate client records using Microsoft and other office management software.
Perform data entry, filing, document management, and other administrative tasks with a high level of accuracy.
Support daily office operations by maintaining office supplies, processing correspondence, and assisting with general clerical duties.
Assist with basic bookkeeping functions, including tracking invoices, payments, and financial records.
Provide outstanding customer service by responding to inquiries, addressing concerns, and maintaining effective communication with clients and families.
Maintain confidentiality and professionalism when handling sensitive client information.
Foster a welcoming, child-friendly environment that reflects the values of our organization.

Qualifications

Previous experience as a receptionist, administrative assistant, front desk coordinator, or in a similar administrative role required.
Medical receptionist experience is highly preferred, particularly in a pediatric, therapy, dental, or healthcare setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Strong computer skills with experience in data entry, electronic filing systems, and office management software.
Excellent verbal and written communication skills with professional phone etiquette.
Strong organizational and time-management skills with the ability to prioritize multiple tasks effectively.
Experience with QuickBooks or similar bookkeeping software is highly preferred.
Bilingual candidates are encouraged to apply.
