This Secretary Position will be for our Peoria Office Location. Our office will be moving tentatively in early September, still in Peoria, and that new location will be disclosed at the interview.
An ideal candidate for this position must be able to thrive in a fast paced and high volume work environment. The candidate must be able to converse with customers going through hardships and assist the customer by screening them for Agency services, scheduling appointments, and/or providing other resources within the community if the Agency cannot meet their need. This location has two secretary's that work together to help keeps staff on-time and processes flowing effectively within the office. This location serves over 9,000 customers per year, and has service growth plans for the community.
Job Description
Under the general direction of the Office Manager, the Secretary performs a wide variety of administrative, outreach, and program counseling tasks essential to the overall function of the office.
Essential Duties and Responsibilities:
- Responsible for clerical duties which include, but are not limited to, answering the phone, copying customer information for applications, mailing, scheduling appointments, filing, tracking of applications, etc.
- Responsible to take, write, and edit meeting minutes, reports, and related materials
- Schedule and cancel meetings and appointments, as needed
- Accountable for the establishment and maintenance of an adequate filing system
- Ability to navigate through the complexities of various program rules and assist customers through their application process for Agency provided services
- Demonstrated ability to learn different program rules and procedures which govern various programs and/or services provided by the Agency
- Assist in fiscal duties including, but not limited to, opening mail, purchasing office supplies, and order confirmations
- Outreach – Provide information to the public as part of the Agency’s efforts for extending access to energy assistance programs for all potentially eligible customers
- Counseling – Provide energy related counseling and self-help tips to low-income customers, refer customers to other related programs such as housing assistance, weatherization improvements, job service, job training, and other program availability as determined by customer needs
- Demonstrate the utmost confidentiality and discretion upon exposure to, or obtaining knowledge of private and confidential customer information
- Delivery of assigned program services in accordance with the Agency Vision, Mission, and Values and applicable program contracts, manuals, and guidelines
- Perform other functions as may be assigned
GENERAL KNOWLEDGE AND SKILLS REQUIRED
- Proficient knowledge of office procedures and protocol
- Ability to communicate effectively with persons of diverse socioeconomic backgrounds
- Ability to prepare written and oral reports, keep accurate records, maintain customer confidentiality such as protection of customer personal identifiable information
- Strong organizational, communication, and computer skills
- Ability to create and maintain effective working relationships with co-workers and the general public
- Ability to navigate a Microsoft operating computer system efficiently, including the use of Microsoft Office and State program databases.
The ideal candidate will possess the skills to handle large workloads, prioritize work, and multi-task efficiently.
QUALIFICATIONS
- A high school diploma or equivalent
- Minimum of three years clerical/office experience at a job, or an equivalent combination of training and social service experience is preferred
- Ability to speak a second language is preferred and could result in higher pay with validation
- Must possess a valid driver’s license
- Must successfully pass a criminal background check

Pay: $40,000 per year, earned and paid out on a semi-monthly basis
