Guest Services & Events Coordinator

Pay: $20.00 per hour + Performance Incentives (earning potential up to $25.00 per hour)

About Otis

Otis is a 29-room boutique hotel in Harbor Springs, Michigan where thoughtful design, exceptional food, and genuine hospitality come together to create memorable experiences.

Originally built in 1958 and thoughtfully restored, Otis blends mid-century architecture with contemporary comfort. Alongside beautifully designed guestrooms, Otis offers a destination restaurant, curated events, and welcoming gathering spaces that celebrate the spirit of Northern Michigan.

As part of the Kinship Hospitality collection, this role also supports guest communications and event coordination for our sister property, Dexter Hotel, in Elk Rapids. Our team is collaborative, detail-oriented, and committed to creating thoughtful hospitality through every guest interaction.

Position Summary

The Guest Services & Events Coordinator is a hybrid hospitality position that combines front desk operations, guest communications, and event coordination. Based on-site at Otis, this role serves as one of the primary faces of the hotel while supporting event planning and guest communication for both Otis and Dexter.

This position is responsible for welcoming guests, managing reservations and guest inquiries, coordinating weddings and special events, maintaining the shared guest communications inboxes for both hotels, and ensuring every interaction reflects the hospitality standards of our brands.

No two days are the same. One morning may involve welcoming arriving guests and coordinating VIP arrivals, while the afternoon may include responding to event inquiries, building event timelines, meeting with prospective clients, or preparing for an evening wine dinner.

ResponsibilitiesGuest Services

Welcome guests throughout arrival and departure with genuine hospitality
Complete guest check-in and check-out
Answer phones and assist with reservations
Coordinate VIP arrivals and special requests
Provide concierge recommendations and local knowledge
Resolve guest concerns professionally and efficiently
Process payments and maintain accurate guest records
Maintain a clean, organized, and welcoming front desk and lobby

Guest Communications

Manage the shared guest email inboxes for both Otis and Dexter
Respond promptly and professionally to reservation, event, and general guest inquiries
Coordinate reservation changes and special accommodations
Ensure timely communication before, during, and after guest stays
Route inquiries to the appropriate departments while maintaining ownership of guest communication
Maintain the voice and hospitality standards of both brands across all correspondence

Event Coordination

Coordinate weddings, private events, retreats, dinners, and community programming at Otis and Dexter
Serve as a primary contact for booked events
Build event timelines and planning documents
Coordinate vendors, florists, musicians, photographers, and rental companies
Conduct venue tours for prospective clients
Assist with event proposals, contracts, and planning documentation
Communicate event details with operations, culinary, housekeeping, and leadership teams
Support event setup and execution as needed

Administrative & Sales Support

Respond to event and group sales inquiries
Track event leads and bookings
Maintain event calendars and planning documents
Support marketing initiatives and event promotion
Build relationships with local businesses and community partners
Assist leadership with hospitality and operational projects

Qualifications

2+ years of hospitality, hotel, guest service, or event planning experience preferred
Excellent communication and interpersonal skills
Strong organizational and time management abilities
Ability to manage multiple priorities in a fast-paced environment
Professional, positive, and solution-oriented attitude
Exceptional attention to detail
Comfortable learning hotel and event management software
Ability to work evenings, weekends, and holidays as business demands

Compensation & Benefits

Starting pay of $20.00 per hour
