Full Job Description

Position Summary

The Administrative Assistant / Sales Support role provides direct administrative support to the sales team while also serving as the first point of contact for customers and visitors. This position is responsible for helping sales representatives stay organized and productive by managing quotes, orders, ERP data, and customer follow-ups. The role also includes answering phones, greeting walk-in customers, and ensuring a professional front-of-house experience. The ideal candidate is organized, proactive, customer-focused, and comfortable working closely with a sales team in a fast-paced environment.

The sales team is the revenue engine of the business, and this role keeps that engine running smoothly. By handling the administrative details, processing quotes, maintaining the ERP, tracking orders, and following up with customers the Administrative Assistant / Sales Support frees the sales team to focus on building relationships and closing deals. As the welcoming voice on the phone and the friendly face at the front desk, this person also shapes every customer’s first impression of Thomas & Milliken Millwork.

Key Responsibilities – Sales Team Administrative Support

· Process sales quotes, proposals, and order entry on behalf of the sales team

· Follow up with customers on pending quotes, open orders, and delivery schedules on behalf of sales representatives

· Schedule and coordinate customer appointments, sales calls, and meetings for the sales team

· Track and follow up on pending orders, backorders, and delivery timelines to keep customers informed

· Assist with preparation of sales presentations, product information packets, and customer correspondence

Key Responsibilities – Front Desk, Phones & Customer Greeting

· Answer all incoming phone calls promptly and professionally, directing inquiries to the appropriate sales representative or department

· Greet walk-in customers, vendors, and visitors in a friendly and professional manner

· Assist customers with general inquiries, order status, and routing to the appropriate team member

· Manage incoming and outgoing mail, packages, and deliveries

· Maintain a clean, organized, and welcoming front office and reception area

Key Responsibilities – General Office & Administrative Support

· Maintain organized filing systems for physical and digital records, contracts, and documents

· Order and manage office supplies and coordinate with vendors for routine office needs

· Prepare, proofread, and distribute internal documents, reports, and communications

· Communicate with vendors and suppliers regarding orders, invoices, and account information

Key Responsibilities – Data Entry, CRM & Reporting

· Enter and maintain accurate data in ERP and other company systems with a focus on sales and customer records

· Generate sales reports, pipeline summaries, and activity dashboards for the sales team and management

· Track and reconcile office expenses and assist with invoice processing

· Maintain logs and records for equipment, maintenance, and facilities as needed

· Responsiveness to requests from the sales team, management, and staff

· Effective support of the sales team through timely quote processing, CRM updates, and customer follow-ups

Qualifications – Required

· 2+ years of experience in an administrative, office support, or coordinator role

· Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams)

· Strong written and verbal communication skills

· Exceptional organizational skills and attention to detail

· Ability to handle confidential information with discretion

· Comfortable managing multiple priorities in a fast-paced environment

· Positive, team-oriented attitude and professional demeanor

· Friendly, customer-facing phone manner and ability to represent the company professionally to walk-in visitors

Qualifications – Preferred

· Experience working in a building materials, construction, or distribution environment

· Familiarity with ERP or CRM software (e.g., Epicor, Salesforce, or similar)

· Prior experience in a sales support, sales coordination, or inside sales administrative role

Work Environment

Primary in-office role in a professional office setting within or adjacent to a building materials operation. Occasional interaction with warehouse and production staff. Standard office equipment used daily.

Key Performance Indicators (KPIs)

· CRM data accuracy and completeness (lead entries, pipeline updates, contact records)

· Sales team satisfaction with administrative support (feedback from reps and management)

· Phone responsiveness and customer greeting quality (call answer rate, customer feedback)

· Timeliness of customer follow-ups and order status communications

· Timeliness and accuracy of sales report preparation and distribution

· Overall staff and management satisfaction with administrative support
