Full Job Description

RAWLE & HENDERSON LLP, the nation’s oldest law firm in continuous practice in the United States, is seeking an experienced Chief Operating Officer / Executive Director to serve as the Firm’s senior administrative leader in its Philadelphia office.

The Chief Operating Officer / Executive Director will work closely with the Firm’s Executive Committee and will be responsible for the day-to-day management of the Firm’s business operations, financial performance, and execution of strategic initiatives. The successful candidate will be a hands-on, results-oriented leader with significant law firm management experience and a strong understanding of law firm economics, revenue generation, profitability, and operational efficiency.

Responsibilities:

· Provide leadership and oversight of the Firm’s core administrative functions, including Accounting, Billing & Collections, Information Technology, Records, and Facilities/Office Services.

· Work closely with the Executive Committee to implement the Firm’s strategic and financial objectives and ensure accountability and follow-through.

· Oversee the Firm’s financial operations, annual budgeting, long-range financial planning, and financial reporting.

· Monitor and drive performance on key law firm revenue metrics, including billable hours, utilization, realization, collection rates, and inventory aging.

· Work closely with Billing & Collections to improve the revenue cycle, including time entry practices, billing timeliness, collections, and management of outstanding accounts receivable.

· Identify and recommend strategies to improve Firm revenue, profitability, and operational performance.

· Develop, implement, and monitor Firm-wide and client-level key performance indicators and other financial and operational metrics.

· Prepare and present financial and operational reports, projections, and recommendations to the Executive Committee.

· Develop and enforce financial controls, policies, and procedures designed to enhance profitability and cost management.

· Lead continuous process improvement initiatives to streamline workflows, improve administrative efficiency, and reduce administrative burdens on attorneys.

· Ensure the Firm’s technology, records management, and operational infrastructure support attorney productivity, efficient billing, and high-quality client service.

· Oversee significant vendor relationships and contracts involving the Firm’s administrative operations.

· Coordinate with Human Resources on recruiting, onboarding, performance management, compensation, employee relations, staffing, and compliance.

· Partner with Firm leadership to evaluate staffing needs and ensure that resources are aligned with client demand and the Firm’s financial objectives.

· Work with the Firm’s Marketing Manager and Marketing Committee to align marketing and business development initiatives with the Firm’s revenue and growth objectives.

· Support practice groups and attorneys in developing actionable business development plans and evaluating the return on investment of marketing initiatives.

· Lead strategic planning efforts and track the Firm’s progress toward established financial and operational goals.

· Coordinate cross-functional initiatives and drive implementation of decisions made by the Executive Committee and Partnership.

· Oversee the Firm’s insurance portfolio and support Firm-wide risk management, cybersecurity, data governance, compliance, and business continuity initiatives.

What We’re Looking For:

· Significant senior-level administrative or operational leadership experience in a law firm.

· Strong knowledge of law firm financial management, economics, budgeting, billing, collections, and profitability metrics.

· Demonstrated ability to analyze financial and operational data and translate that information into actionable recommendations.

· Proven experience leading and holding administrative departments and senior managers accountable for performance.

· Strong leadership, communication, organizational, and problem-solving skills.

· Ability to work collaboratively with law firm leadership, partners, attorneys, and administrative professionals.

· Demonstrated ability to manage multiple priorities and drive projects and strategic initiatives to completion.

· A hands-on management style and willingness to become actively involved in operational and financial issues when necessary.

· Experience with law firm technology, financial systems, and data-driven performance management is strongly preferred.

· Bachelor’s degree required. Advanced degree or relevant professional credentials are a plus.

This is a full-time leadership position based in our Philadelphia office.
