Job Overview

The OR Coordinator plays a critical role in ensuring every surgical patient receives a smooth, organized, and stress-free experience. This position serves as the primary coordinator between our patients, families, providers, and surgery centers, managing every step of the surgical process from scheduling through the day of surgery.

The OR Coordinator is responsible for coordinating operating room schedules, communicating with families, verifying insurance authorizations and required documentation, ensuring medical clearances are complete, and confirming that each patient is fully prepared for surgery. This role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities while maintaining a high level of accuracy.

Success in this position requires someone who is proactive, dependable, and solutions-oriented. The ideal candidate takes ownership of their responsibilities, communicates effectively, follows through on every task, and works collaboratively with the team to ensure an exceptional experience for every patient and family.

Duties Coordinate operating room schedules and patient cases

Coordinate all hospital and surgery center appointments for both the Philadelphia and Malvern surgery centers.
Schedule operating room cases while maintaining an organized and efficient surgery schedule.
Serve as the primary point of contact for parents throughout the surgery process.
Verify that all required medical clearances, paperwork, insurance authorizations, and documentation are completed before surgery.
Complete surgery confirmation calls and ensure families understand all pre-operative instructions, including NPO requirements and arrival times.
Ensure PPO and self-pay patients complete required financial arrangements prior to surgery, when applicable.
Maintain the OR Communication Board by documenting outstanding items, providing daily follow-up, and ensuring no patient falls through the cracks.
Communicate with surgery centers, providers, and internal team members to resolve scheduling issues promptly.
Follow up on canceled or postponed surgeries to ensure patients are rescheduled appropriately.
Review upcoming OR schedules, identify potential issues before they become problems, and communicate updates to leadership.
Maintain accurate patient documentation and update records throughout the scheduling process.
Deliver exceptional customer service while supporting families through every stage of their child's surgical experience

Experience

Minimum of 1 year of experience in a dental office, oral surgery, orthodontic office, or other healthcare setting.

Preferred:

Experience using Denticon practice management software is highly preferred.
Previous experience coordinating operating room schedules, hospital cases, or specialty dental treatment.
Experience verifying insurance, obtaining authorizations, scheduling patients, and maintaining accurate documentation.
Experience working in a fast-paced pediatric dental or specialty practice.
Demonstrated ability to prioritize tasks, solve problems proactively, and consistently follow through to completion.
Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously.
Strong communication skills with patients, families, providers, and team members.
Ability to work independently while maintaining a high level of accuracy and attention to detail.
Proficient with Microsoft Office (Outlook, Word, and Excel) and comfortable learning new technology.
