Full Job Description

PAWS is hiring a Full-Time Veterinary Receptionist at our NE Philly location!

An integral member of the team that operates PAWS' Northeast Spay/Neuter and Wellness Clinic, the Veterinary Receptionist is responsible for creating a welcoming environment for the people and pets we serve, ensuring they have a smooth and efficient experience, and upholding the integrity of PAWS' clinic services which play a vital role in our community. Specific responsibilities include scheduling, checking patients in and out, providing accurate and courteous customer assistance in person and by phone, providing general information about all of PAWS’ services, and record-keeping.

Duties include, but are not limited to:

Perform general administrative and clerical duties including data entry of medical records and sales, scheduling of clinic and spay/neuter appointments, and customer support in person and via phone and email.
Answer questions and direct the public in a pleasant and efficient manner and provide accurate and helpful information whenever possible.
Uphold PAWS' policies, procedures, and services, including listening to customers, empathizing or sympathizing and providing effective responses and remedies to their questions and needs.
Ensure a rapid and courteous response to telephone calls and emails.
Assist in the accurate collection of fees (making change, issuing receipts, balancing daily reports).
Maintain accurate patient files and records and utilize Clinic HQ software to keep all animal-related records.
Perform retail sales and handle payment for various services and products.
Assist in inventory of office and other supplies to ensure that the front desk is always stocked and in working order.
Promote a humane and caring attitude toward all animals and treat all animals humanely, properly and with compassion at all times, including those that are sick, injured, feral or aggressive.
Assist staff and volunteers whenever necessary to ensure smooth, respectful handling of the public and their pets.
Maintain a calm, pleasant, tactful, and professional demeanor at all times when dealing with the public, even in stressful situations.
Assist in maintaining healthy, safe, sanitary, pleasant and clean facilities for the customers and animals under the care of PAWS. This includes keeping the front desk area clean and organized.
Perform other duties as assigned.

Education and Experience Required:

High school diploma or equivalent required. Post-secondary education preferred.
At least 1 year of experience working in a veterinary practice required.

Affection and compassion for animals, concern for their welfare, and a willingness to accommodate animals in the workplace.
Strong sense of initiative and ability to problem-solve, identifying tasks that need to be accomplished and prioritizing appropriately, working independently with minimal supervision and direction.
Maturity, good judgment and a professional personal appearance.
Ability to read, write and understand English.
Flexibility, ability to manage multiple tasks and accommodate varied work assignments and schedules.
The ability to ask appropriate questions to gather information along with the ability to feel and show empathy for others.
The ability to turn people down, firmly when necessary, without becoming aggressive or unpleasant.
Comfort and ability to work with animals of unknown disposition and those who may exhibit medical and other problems, as well as aggressive tendencies.
Ability to communicate skillfully and effectively with a culturally diverse staff, volunteers and community.
Computer proficient in Microsoft office and internet based software such as GMail/GSuite.

Hours/Scheduling:

This is a non-exempt position. PAWS is open seven days a week. A minimum of 8 hours per day, 40 hours per week, is required, with at least one weekend day worked. Daily schedule and hours may vary according to the needs of the organization.

This position is located at PAWS' Spay/Neuter and Wellness Clinic at 1810 Grant Avenue (at Bustleton Ave), Philadelphia, PA 19115.

Compensation:

Salary is commensurate with experience.

About PAWS Philadelphia Animal Welfare Society:

PAWS is a 501(c)3 non-profit organization dedicated to saving Philadelphia’s homeless and at-risk pets. PAWS is Philadelphia's largest rescue organization and provider of affordable veterinary care, and and is working to make Philadelphia a city in which every savable pet is guaranteed a home. Through its adoption locations, special events, and foster care network, PAWS finds loving homes for thousands of animals each year. PAWS operates two low-cost, high-volume spay/neuter and wellness clinics serving pet owners and rescues in an effort to keep pets healthy and reduce the homeless pet population. The two clinics serve approximately 28,000 pets each year, whose owners have difficulty affording or accessing basic veterinary care (sterilization, vaccinations, treatments for upper respiratory infections/parasites/fleas, etc.) and in the care of rescue organizations that need affordable services to carry out their lifesaving work.

Pay: $16.00 - $18.00 per hour
