Full Job Description

Job Title: Payroll Coordinator

Location: Voorhees – Hybrid / On-Site as Required
Reports To: Controller / HR Director
FLSA Status: Non-Exempt
Department: Finance / Human Resources

Position Summary

The Payroll Coordinator serves as a key operational resource supporting the Finance and Human Resources functions of Maryville Integrated Care. Responsible for the accurate and timely administration of the organization's bi-weekly payroll, this position also provides administrative support to Finance and Human Resources as needed. Working under the direction of the Controller and HR Director, the Payroll Coordinator helps maintain accurate records, safeguard confidential information, support internal controls, ensure regulatory compliance, and promote efficient business processes while supporting Maryville's mission-driven services.

Essential Functions

Process bi-weekly payroll accurately and timely for all employees, including review of timesheets, PTO, employee changes, deductions, and payroll reporting.
Maintain payroll, HRIS, and employee records while ensuring confidentiality, accuracy, and compliance with applicable regulations.
Support onboarding, personnel record maintenance, benefits administration, employment verifications, and other HR administrative functions.
Assist the Finance Department with accounts payable, accounts receivable, reporting, reconciliations, and other accounting support activities.
Prepare payroll, financial, compliance, and audit-related reports and documentation for Finance and Human Resources leadership.
Maintain and update employee labor distribution and wage allocation percentages to ensure payroll expenses are accurately allocated across departments, programs, grants, and funding sources.
Support audits, regulatory reviews, and internal control processes through accurate recordkeeping, documentation, and adherence to organizational policies.
Identify opportunities to improve payroll, HR, and Finance processes through workflow and technology enhancements.
Collaborate with Finance, Human Resources, and operational leaders to support organizational effectiveness and service excellence, and perform other related duties and special projects as assigned

Qualifications

Education & Experience:

High School Diploma or GED required; Associate's degree in Accounting, Finance, Business Administration, or related field preferred.
Minimum of three (3) years of payroll processing experience required.
Experience processing payroll in a healthcare, nonprofit, or multi-department environment preferred.

Knowledge, Skills, and Abilities:

Knowledge of payroll administration, payroll taxes, wage and hour laws, and related compliance requirements.
Strong attention to detail, organizational skills, and ability to maintain confidentiality.
Excellent analytical, problem-solving, and communication skills.
Ability to manage multiple priorities and meet deadlines.
Proficiency in Microsoft Excel, Microsoft Office, and payroll software systems.
Ability to learn and effectively utilize HRIS and related systems.
Ability to work independently and collaboratively in a team environment.
