ABOUT THIS POSITION

Phoenix is the 5th largest city in the country, serving as Arizona's center of government, commerce, and culture. It is emerging in the new economy with strength in high technology, manufacturing, bioscience research, and advanced business services. Phoenix is a progressive city, brimming with sports and cultural attractions, distinctive restaurants, fascinating museums, diverse residential options, and endless outdoor opportunities.

The Retirement Department has a vacancy for an Administrative Assistant I position. This position serves a vital role and works closely with the Retirement Administrator and Deputy Administrator to ensure all office functions run smoothly.

The Retirement Office is comprised of 21 positions that are responsible for providing pension information to members of the City of Phoenix Employees' Retirement System (COPERS) and the Arizona Public Safety Personnel Retirement System (PSPRS). The City's Deferred Compensation Plans (457/401(a)/ PEHP) are also managed within the office. Each benefit functions in Retirement reports to their respective Board of Trustees who are responsible for overseeing roughly $9 billion in retirement assets. The Retirement Office is divided into three areas: Administrative/Operations, Benefits, and Investments.

This Administrative Assistant I position is assigned to the Administrative/ Operations group and is responsible for:

Posting meeting agendas with the City Clerk.
Preparing for and managing board/committee meetings.
Ongoing administrative support to the Retirement Administrator.
Administering payroll and leave processes for the department.
Preparing the Board/Committee agendas (including supporting materials).
Distributing agendas and materials to Board/Committee members.
Staffing an average of 90 board/committee meetings per year.
Compiling large amounts of data and preparing reports for the boards.
Coordinating, scheduling, and staffing the various board meetings throughout the year.

SALARY

Pay Range: $24.43 - $45.67 per hour.

Hiring Range: $24.43 - $41.42 per hour.

Pay Range Explanation:

Pay range is the entire compensation range for the position classification.
Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.

Internal Only: Please understand that this is pay grade 053. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

Promotions occur when the last two digits of the pay grade increase.
Demotions occur when the last two digits of the pay grade decrease.
Lateral transfers occur when there is no change to the last two digits of the pay grade.
When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

MINIMUM QUALIFICATIONS

One year of paraprofessional experience in governmental research and finance administration or paraprofessional experience aiding an administrative officer in technical and administrative problems and affairs
Bachelor's degree in public or business administration or a related field
Other combinations of experience and education that meet the minimum requirements may be substituted
All finalists for positions are subject to a criminal background check applicable to the department or position.
Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:

Experience in/with:
- Open meeting law.
- Conducting payroll functions.
- Managing virtual meetings.
- Conducting research and report writing.
- Compiling and analyzing investment and financial data.
- Working collaboratively with internal and external stakeholders.
- Writing meeting minutes of fiduciary boards and commissions.
- Providing customer service in person, over the phone, and via email.
- Creating formal letters, reports, memos, technical (financial, investment, contracts) docs, etc.
