Position Overview

Phoenix Health & WellBeing is seeking a compassionate, organized, and detail-oriented Client Care Coordinator to serve as the central point of communication between our clients, therapists, psychiatric providers, and administrative team.

This is a highly interactive, in-office position that combines client support, scheduling, provider coordination, insurance verification, billing support, and administrative operations. The ideal candidate enjoys helping people, thrives in a fast-paced environment, communicates professionally, and can balance meaningful client interactions with behind-the-scenes administrative responsibilities.

This role is ideal for individuals who are passionate about mental health and are pursuing or considering careers in counseling, social work, psychology, healthcare administration, human services, or related helping professions.

What You'll Do:

Client Support & Care Coordination

Serve as the first point of contact for prospective and current clients.
Coordinate and schedule consultations, therapy appointments, and psychiatric appointments.
Assist clients through the intake and onboarding process.
Respond to phone calls, emails, text messages, and client inquiries in a timely and professional manner.
Help clients navigate scheduling changes, insurance questions, and general practice procedures.
Provide a welcoming, professional, and compassionate experience for all clients.

Provider Support

Coordinate schedules for therapists and psychiatric providers.
Assist providers with administrative needs related to client care.
Communicate scheduling updates, appointment changes, and client concerns appropriately.
Support therapists and providers in maintaining efficient workflows.

Administrative Operations

Verify insurance benefits and eligibility.
Assist with billing, payment collection, and account follow-up.
Manage electronic health records and client documentation.
Process referrals and coordinate care as appropriate.
Monitor administrative tasks and ensure timely follow-through.
Maintain accuracy in scheduling, documentation, and client records.
Assist with office operations and special projects as assigned.

Qualifications

Required

Bachelor's degree in Psychology, Social Work, Human Services, Counseling, Healthcare Administration, Public Health, or a related field
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Ability to manage multiple priorities and follow through on tasks independently
Professional, compassionate, and client-centered demeanor
Comfortable learning and utilizing multiple technology systems and software platforms

Preferred

Experience working in a behavioral health, healthcare, medical office, counseling practice, or psychiatric setting
Experience with scheduling, insurance verification, billing support, or electronic health records
Experience working directly with clients, patients, or customers
Current graduate student or future graduate school candidate in a helping profession

Schedule & Work Location

This is a full-time, in-person position based in our Tempe office. Team members are expected to work onsite and collaborate closely with clients, therapists, psychiatric providers, and the administrative team throughout the week.

Schedule:

Monday: 10:00 a.m. – 6:00 p.m.
Tuesday: 10:00 a.m. – 6:00 p.m.
Wednesday: 12:00 p.m. – 5:00 p.m.
Thursday: 10:00 a.m. – 6:00 p.m.
Friday: 12:00 p.m. – 6:00 p.m.

Total Weekly Hours: 35 hours
