Full Job Description

The Fulfillment Operations Manager at Adept Life Sciences leads the warehouse, packaging, and shipping functions that move finished dietary supplement and nutraceutical products from production to the customer. This role manages inventory accuracy, order fulfillment, packaging operations, and outbound logistics, ensuring orders ship complete, on time, and in full compliance with cGMP, customer requirements, and safety standards. The Fulfillment Operations Manager leads and develops the fulfillment team, drives throughput and accuracy, and continuously improves processes to support on-time delivery and operational excellence.

KEY RESPONSIBILITIES & DUTIES

The Fulfillment Operations Manager will plan, direct, and coordinate warehouse, packaging, and shipping operations to deliver accurate, on-time orders, maintain inventory integrity, and ensure compliance with cGMP and applicable regulatory and safety requirements.

Fulfillment & Order Management

● Direct daily fulfillment operations, including picking, packing, staging, and shipping of finished goods to meet customer order commitments.

● Ensure orders are fulfilled complete, accurate, and on time, meeting or exceeding on-time and order-accuracy targets.

● Coordinate order priorities and pickup schedules with carriers to satisfy customer demand.

● Manage returns, reships, and special handling requests with timely, documented resolution.

Inventory Control & Accuracy

● Maintain accurate finished-goods and packaging inventory through disciplined receiving, putaway, cycle counting, and reconciliation processes.

● Oversee lot traceability and FEFO (first-expired, first-out) practices to ensure correct product rotation and support recalls and mock recalls.

● Investigate and resolve inventory discrepancies, and implement controls to prevent recurrence.

● Manage warehouse space, storage conditions, and material flow to optimize capacity and protect product integrity.

● Maintain accurate transactions and records within the fulfillment software.

Compliance, Safety & GMP

● Ensure fulfillment, packaging, and warehouse activities comply with cGMP, 21 CFR Part 111, and company procedures.

● Maintain warehouse sanitation, organization, and pest-control standards as part of general GMP compliance and audit readiness.

● Enforce safety policies and OSHA requirements, including safe material handling, equipment operation, and personal protective equipment (PPE) use.

● Support FDA, NSF, and customer audits by maintaining accurate records and an inspection-ready warehouse environment.

● Ensure forklift, pallet jack, and other equipment are operated by trained personnel and kept in safe working condition.

Team Leadership & Continuous Improvement

● Lead, train, schedule, and develop the fulfillment, packaging, and shipping team, promoting accountability, safety, and a culture of continuous improvement.

● Establish and monitor key performance metrics such as on-time shipping, order accuracy, inventory accuracy, and throughput, and report on trends.

● Identify and implement process improvements that increase efficiency, reduce errors, and lower cost per order.

● Develop and maintain standard operating procedures (SOPs) for warehouse, packaging, and shipping functions.

● Collaborate cross-functionally with production, quality, purchasing, and customer experience to support overall operational goals.

On-Time Delivery & Order Accuracy

● Orders ship complete, accurate, and on time, with on-time and order-accuracy targets met or exceeded.

● Shipping errors, mis-picks, and reships trend downward year over year.

Inventory Integrity & Compliance

● Inventory accuracy remains high, with discrepancies investigated and resolved promptly.

● The warehouse remains organized, sanitary, and inspection-ready, with no critical or major findings in audits.

Team Performance & Continuous Improvement

● The fulfillment team is well-trained, safe, and productive, with strong retention and engagement.

● Process improvements are implemented that measurably increase throughput, accuracy, or efficiency.

QUALIFICATIONS & SKILLS

EDUCATION & EXPERIENCE

● Bachelor’s degree in supply chain, logistics, operations management, business, or a related field preferred; equivalent experience considered.

● Minimum of five (5) years of relevant experience in warehouse, fulfillment, or operations management, preferably in dietary supplement, nutraceutical, food, or other regulated manufacturing.

● Prior experience leading and developing a team in a fast-paced fulfillment or distribution environment.

SKILLS (REQUIRED)

● Strong knowledge of warehouse operations, inventory control, packaging, and outbound shipping / logistics.

● Working knowledge of cGMP and 21 CFR Part 111 as they apply to warehousing, labeling, and finished-goods handling.

● Proficiency with ERP and warehouse management systems, as well as standard office and reporting tools.

● Proven ability to lead, train, and develop staff and promote a culture of safety, accountability, and continuous improvement.

● Strong organizational, problem-solving, and prioritization skills in a deadline-driven environment.

● Understanding of lot traceability, FEFO / FIFO rotation, and cycle-counting practices.

● Familiarity with OSHA and safe material-handling and equipment-operation requirements.

● Adaptability and a willingness to learn new tasks and procedures as the business evolves.

● Desired fluency in additional languages to support a diverse workforce.

PREFERRED EXPERIENCE (NOT REQUIRED)

● Experience in nutraceuticals, food manufacturing, or other regulated environments.

● Forklift certification and experience training others on powered industrial equipment.

● Experience with lean, 5S, or other continuous-improvement methodologies.

● Familiarity with manufacturing and shipping documentation (COAs, packing lists, labels, BOLs, etc.).

● Experience supporting production schedules or logistics coordination.

● Experience hosting FDA and third-party audits (NSF, NPA, UL, or customer).

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS

● Primarily warehouse- and floor-based, with time split between a production / warehouse environment and office work.

● Frequent standing, walking, bending, and lifting; ability to lift up to 50 pounds and operate or oversee material-handling equipment.

● Exposure to powders and ingredients, noise, and temperature variation on the manufacturing and warehouse floor; personal protective equipment (PPE) may be required.

● Frequent communication via phone, email, and in-person discussions.

● Fast-paced production-support environment, with some flexibility required to meet shipping and production deadlines.
