Full Job Description

A confidential company within the integrative oncology field is hiring!

This healing center integrates science based, proven alternative and natural therapies with the most effective and least harmful mainstream medicines to eradicate cancer in the body. The foundation of our program provides the nutrients and detoxification required for the body to restore optimal immune system function and to change the biochemistry of the body so that it stops making cancer. We inspire, teach, and provide guidance for our patients in a caring and encouraging atmosphere of hope and gratitude.

Success in this role requires a background in medical office management as well as experience in human resource management. This is a combination role due to the size of the company with a maximum staff of 30. We are seeking a candidate that has experience in small business operations of a similar scope and size who has functioned in both of these roles.

We are seeking an experienced, compassionate, and highly organized Operations Manager with a strong background in Human Resource Management to join our team and oversee human resources, front office operations, and administrative compliance within our integrative medical center.

This role is ideal for a hands-on professional who thrives in a small, mission-driven healthcare environment and is comfortable balancing people management, regulatory compliance, and daily operational responsibilities providing an exceptional patient experience from the moment patients enter our healing center with clinical leadership and foster a welcoming and well-coordinated environment for patients and families.

Key Responsibilities:

Front Office & Administrative Operations

Oversee daily Front/Medical Office and Human Resources Operations in a medical facility to ensure efficient patient flow and administrative support.
Manage staff schedules to ensure proper coverage while minimizing overtime.
Oversee patient intake, registration, scheduling, billing accuracy, and EHR data integrity.
Serve as the escalation point for patient concerns or service issues.
Develop, update, and enforce Front or Medical Facility SOPs, workflows, and training materials.
Monitor staff productivity, attendance, and adherence to schedules and procedures.
Ensure compassionate, professional communication with patients, caregivers, and staff.

Human Resources Management

Manage full-cycle recruitment for clinical and non-clinical positions roles, tailored to healthcare roles, administrative team members and patient support staff including posting roles, scheduling interviews, facilitating hiring and onboarding.
Collaborate with leadership to create accurate job descriptions and qualifications,
Facilitate pre‑employment screening, including background checks, healthcare credential verification, and drug testing as required.
Lead orientation, with an emphasis on healthcare compliance ensuring HIPAA, OSHA, policy training, safety standards, and patient‑care protocols.
Serve as the primary point of contact for employee relations, coaching, performance management, and corrective actions.
Ensure compliance with federal, state, and local employment regulations (wage & hour, ACA, and COBRA).
Maintain employee files, credential records, HR documentation, and required postings.
Coordinate benefits administration, open enrollment communication, leaves management and vendor relationships.
Support leadership with workforce planning, retention strategies, and culture initiatives.
Promote a fair, respectful, and values-driven workplace aligned with the healing mission of the organization.

Facilities, Compliance & Systems Oversight

Coordinate facility and administrative operations to maintain an orderly, compliant medical office environment.
Maintain OSHA and HIPAA compliance and required documentation.
Ensure opening and closing security procedures are followed.
Oversee office equipment, phone systems, printers, and administrative technology.
Monitor EHR functionality, user access, documentation completion, and vendor coordination.
Ensure timely and compliant fulfillment of medical record requests and retention standards.

Qualifications Required:

Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field.
3–5 years of Medical Office Operations with Human Resource Management.
Full-Cycle Recruitment experience, onboarding and employee relations.
Experience supervising staff and overseeing office operations.
Strong knowledge of HR compliance, HIPAA, OSHA, and healthcare-related regulations.
Excellent communication, organization, and leadership skills.
Ability to balance empathy with accountability in sensitive situations.
High attention to detail, discretion, and problem-solving ability.
Experience in naturopathic, integrative or functional medicine preferred.
Vegan or vegetarian and/or healthy lifestyle necessary.

Qualifications Preferred:

HR certification (PHR, SHRM‑CP/SCP).
Experience in integrative, holistic, or small medical practice environments.
Familiarity with EHR systems and healthcare workflows.
Experience supporting clinical staff such as RNs, MAs, NPs, or integrative/functional medicine practitioners.
