About Us

Sophos Speech and Academics is a dynamic and growing academic and therapeutic service organization dedicated to helping students thrive. We provide individualized speech/occupational therapy, academic remediation, tutoring, and executive function coaching to students and families across the Phoenix area. Our team is passionate, collaborative, and committed to making a meaningful difference in the lives of the students and families we serve.

About the Role

We are seeking a personable and highly organized Office Manager to support the administrative and operational functions of Sophos Speech and Academics. Reporting to the Center Operations Director, this role combines a passion for education and student success with strong organizational skills to ensure seamless day-to-day operations and an exceptional experience for students, families, and staff. The ideal candidate will have a solid understanding of office workflows and client communication, and will thrive in a collaborative, mission-driven environment. Responsibilities

Assist in the recruitment and onboarding of new contractors and tutors, ensuring all required documentation is collected and on file prior to the start of services (e.g., fingerprint clearance, W-9s, direct deposit setup).
Support the matching of instructors to students based on availability, qualifications, and individual student needs.
Guide and orient new contractors through Sophos onboarding processes, policies, and expectations to set them up for success from day one.
Serve as a day-to-day point of contact for families, school partners, and vendors, upholding Sophos's standards of professionalism, warmth, and care.
Assist with basic marketing efforts to support brand visibility and client growth, including social media, community outreach, and promotional materials.
Oversee daily administrative functions including student scheduling, client records management, and correspondence with families and school staff.
Collaborate closely with the Center Operations Director to continuously develop, refine, and implement systems and processes that support the growth and efficiency of the organization.
Maintain accurate and organized documentation across student files, staff contracts, and company administrative platforms.

Qualifications

Proven experience in office management, business administration, or a related role, preferably within an education, therapy, or service-based environment.
Strong organizational skills with the ability to manage multiple priorities while maintaining close attention to detail.
Excellent written and verbal communication skills with the ability to interact professionally and warmly with students, families, staff, and school partners.
Experience supporting hiring, onboarding, or human resources functions is a plus.
Comfortable with basic marketing tasks including social media management and community outreach for a small business.
Proficiency with scheduling, billing, and administrative platforms; experience with practice or student management software is a plus.
A self-starter who thrives in a collaborative environment and is eager to help build and improve systems and processes.
