Client Service Specialist / Senior Client Service Specialist

Legacy Wealth Alliance is a growing independent wealth management firm serving individuals, families, retirees, pre-retirees, and business owners throughout the Phoenix East Valley.

We are committed to delivering exceptional client service, comprehensive financial planning, investment management, retirement-income planning, tax coordination, estate planning coordination, and insurance solutions. Position Overview

We are seeking a Client Service Specialist / Senior Client Service Specialist to own the complete client-service experience from first contact through final completion.

This person will answer incoming calls, welcome clients, manage the advisor calendar, coordinate meetings, process applications and service requests, track transfers and underwriting, manage recurring projects, maintain CRM and document records, and communicate proactively throughout every workflow.

This is not a basic receptionist or data-entry role. This is a relationship-driven role responsible for protecting and enhancing the client experience while ensuring nothing falls through the cracks.

We are seeking a high-ownership client-service professional who can create confidence through responsiveness, accuracy, proactive communication, disciplined workflow management, and reliable follow-through.

We are looking for someone who understands wealth management client service, enjoys solving problems, managing detailed workflows, setting expectations, and making every client feel important.

The successful candidate will serve as a trusted client-service partner to the firm's founder and Operations Team and play a key role in protecting client relationships, improving service timelines, creating visibility across open work, and helping build a more scalable organization.

This role offers the opportunity to make a meaningful impact while developing through a defined Client Service Specialist career path within an established and respected independent wealth management firm.

Primary Responsibilities

Answer incoming calls, greet and seat clients, prepare meeting spaces, and create a professional, caring first impression.
Own client and advisor service requests from complete intake through verified completion, including gathering all required documents initially and reviewing work for accuracy before signature or submission.
Obtain and accurately complete securities and insurance applications, track applications, transfers, account openings, underwriting, money movement, policy delivery, payments, and follow-up items.
Provide proactive client communication throughout pending workflows, every 7 to 10 days, and communicate delays before clients have to ask.
Manage prospect and new-client onboarding, including scheduling, introduction packets, Client Information Sheets, Risk Tolerance Questionnaires, and collecting requested documents at least 72 hours before advisor meetings.
Manage the advisor calendar, confirm meetings 24 hours in advance, ensure required documents are available, protect advisor preparation capacity, and coordinate post-meeting follow-up.
Ensure Jump AI meeting notes are posted to CRM, client action items are communicated, CSS tasks are placed into workflow, and completion timelines are assigned.
Manage recurring projects, including debit balances, planning invoicing and collections, client-review commitments, annual RMDs, and approved IRA-to-Roth conversions.
Maintain accurate CRM notes, documents, tasks, client records, status reports, and filing standards so nothing falls through the cracks.
Identify possible client concerns, missing requirements, vendor delays, and service risks before they become client problems; escalate appropriately and confirm completion.
Contribute to workflows, checklists, SOPs, cross-training, and mentorship so the firm is not dependent on one person.
If appropriately licensed, registered, supervised, and approved, assist with permitted service-trading activities so Operations can complete more service workflows end to end.

Qualifications

3+ years of wealth management, RIA, broker-dealer, insurance operations, financial planning, banking, registered client service, or closely related financial-services experience preferred.
Prior experience as a Client Service Specialist, Client Service Associate, Registered Client Associate, Senior Client Service Associate, Insurance Case Manager, Operations Associate, or similar role.
Demonstrated success managing multi-step client requests, deadlines, documentation, service standards, and workflow accountability.
Strong understanding of account opening, transfers, money movement, insurance processing, underwriting, CRM documentation, and client service operations.
Experience using CRM systems, workflow-management tools, custodian or carrier platforms, document-management systems, and status reporting.
Excellent written and verbal communication, problem-solving, prioritization, time-management, and organizational skills.
Ability to operate independently within established standards without continuous reminders and to balance client warmth with efficient time management.

Preferred Qualifications

Securities and insurance licenses are strongly preferred. Exceptional candidates without licensing may be considered if willing and able to obtain required licenses within 12 months, subject to firm sponsorship and compliance approval.

Active Series 7 license.
Active Series 66, Series 65, or Series 63 license.
Life and Health Insurance license.
Experience working within an independent RIA, broker-dealer, insurance agency, or wealth management practice.
Previous experience mentoring, cross-training, documenting SOPs, or serving as a subject-matter expert.
