Full Job Description

About Heritage Auto Racing & Development

Heritage is a specialized, low-volume automotive shop focused on vintage cars, antiques, classics, European sports cars, American muscle, and road-course race cars. We are not primarily a general repair shop. Our work centers on collectible vehicles and enthusiast cars - machines with history and character.

Work in the shop regularly includes classic muscle cars, vintage European sports cars, classic SUVs and trucks, and road-course race cars.

Our emphasis is on careful, high-quality craftsmanship over high-volume service. Projects range from routine service to mechanical restoration and race preparation, including track support. We also selectively support our customers' regular or daily vehicles when requested.

We are looking for an Automotive Office Manager to serve as the shop’s central point of coordination. This person will keep customers, technicians, parts, paperwork, and payments aligned so projects stay organized, work moves forward smoothly, and the team can remain focused on the vehicles.

Role Overview

The Automotive Office Manager will be at the center of the shop's daily activity, helping turn many moving pieces into organized and professional customer experience. One moment may involve researching a hard-to-find part for a vintage vehicle; the next may involve receiving a delivery, updating a customer, preparing a repair order, or finalizing an invoice.

The Automotive Office Manager will work autonomously while fully supporting the Shop Manager and the operational priorities established for the shop. The right person will use sound judgment to independently manage day-to-day administrative and coordination responsibilities, anticipate what the shop needs, and follow details through to completion. This person will also understand enough about vehicles and parts to communicate credibly with technicians, suppliers, and customers.

Responsibilities

Keep the shop moving: Coordinate the daily administrative flow of the shop, track open items, and follow through on the details that could otherwise slow down customer projects.
Parts procurement: Research, locate, and order parts for a wide variety of classic and race vehicles, including vehicle-specific components and universal or custom fabrication materials.
Inventory management: Track incoming and outgoing parts, maintain appropriate stock levels for shop supplies, verify deliveries, and ensure components are allocated to the correct customer and project.
Service administration: Generate and process repair orders, maintain accurate digital and physical records, and keep shop paperwork organized and current.
Customer communication: Serve as a reliable point of contact for customers, coordinate project updates with the shop team, answer routine questions, and maintain a professional and welcoming experience.
Invoicing and payments: Prepare and finalize invoices, accept customer payments, and maintain accurate financial documentation for services rendered.
Vendor and project coordination: Communicate with parts suppliers, machine shops, and other outside partners to confirm availability, pricing, timing, and delivery so the team has what it needs when it needs it.
Logistics and errands: Occasionally drive to local suppliers or machine shops to pick up or drop off parts and materials needed to keep projects on schedule.

Required Qualifications

Automotive background with a practical understanding of vehicle components and terminology
Demonstrated experience organizing administrative work, service activity, parts, or projects in an automotive shop or similarly hands-on environment
Excellent organizational skills and the ability to manage several priorities without losing track of details
Comfort using computers to generate repair orders, research parts, maintain records, and manage inventory
Strong written and verbal communication skills with a professional, customer-focused approach
Proven ability to work autonomously, take ownership of follow-up, use sound judgment, and recognize what needs attention before being asked
Valid driver's license and clean driving record for local parts and supplier runs

Preferred Qualifications

Experience in an automotive repair, restoration, performance, race, or specialty vehicle shop
Familiarity with classic cars, race engines, or custom fabrication
Experience sourcing hard-to-find, discontinued, or non-traditional parts
Experience with repair order or shop management software
Experience managing parts inventory, invoicing, and customer payments

Compensation & Benefits

$60,000 - $70,000 (Compensation based on experience and qualifications)
Individual Coverage Health Reimbursement Arrangement (ICHRA) - company contributes 65% of your monthly premium up to $1,000 per month, with broker support to find the right plan for you
