Full Job Description

Job Overview
The principal duty of the Substitute Secretary is to fulfill the duties typically assigned to a secretary, ensuring seamless continuation of day-to-day responsibilities in the absence of the regular employee. Your proactive attitude and attention to detail will help foster a welcoming space that encourages learning, exploration, and connection. This paid position offers an excellent opportunity to develop valuable skills in library management, customer service, and data handling while making a positive impact on our community.

Responsibilities

Assist school and library patrons with locating materials, answering questions, and providing excellent customer service to enhance their experience.
Perform data entry tasks related to new acquisitions, inventory updates, and circulation records with accuracy and efficiency.
Manage filing of physical documents, overdue notices, and other administrative records to ensure easy retrieval and organization.
Assist with the setup and troubleshooting of computer equipment and software used in daily operations.
Contribute to maintaining a clean, organized environment by returning items and preparing materials for shelving or storage.
Communicate effectively with patrons and team members using strong written and verbal skills to ensure a clear understanding of services offered.

Experience

Prior experience working in a school, library, or similar customer service environment is preferred but not required; enthusiasm for learning is essential.
Demonstrated proficiency with computer skills, including typing and data entry.
Strong organizational skills with the ability to manage multiple tasks efficiently while maintaining attention to detail.
Excellent communication skills—both written and verbal—to assist patrons effectively and collaborate with team members.
Knowledge of databases used in cataloging and research activities is a plus.
Ability to handle sensitive information discreetly while providing friendly service in a fast-paced setting.
Basic understanding of filing systems, data collection methods, and research techniques will support success in this role.

Job Types: Full-time, Part-time

Pay: From $13.50 per hour

Expected hours: 8 – 40 per week
