POSITION SUMMARY & RESPONSIBILITIES:
The Maintenance Manager reports to the COO and is responsible for leading maintenance operations for HostWise properties in the Pittsburgh market. This role is responsible for the overall performance, responsiveness, quality, and cost-effectiveness of the maintenance department. HostWise currently handles over 400 maintenance tasks per month, and this role is central to ensuring that volume is managed efficiently, professionally, and to a consistently high standard.
This is a field-first role, not a desk job. The Maintenance Manager is expected to spend approximately 75% to 85% of their time in the field and 15% to 25% in the office. Field responsibilities include inspecting completed work, inspecting new properties, inspecting existing properties, inspecting vendor work, troubleshooting active issues, and performing hands-on maintenance. Approximately 25% to 40% of the role is expected to be actual hands-on maintenance work.
The right candidate will be able to balance field execution with strong judgment, organization, and follow-through. In-office responsibilities include managing the maintenance schedule, obtaining bids, reviewing completed tasks, assigning costs, tracking hours, and monitoring job-level profitability. This person must be able to move effectively between the field and office while ensuring properties remain functional, well cared for, and guest ready at all times.
Guests expect a seamless stay in a property that feels premium, polished, and fully operational. The Maintenance Manager plays a critical role in delivering that experience by ensuring issues are resolved properly, quickly, and professionally, while also building a more scalable and proactive maintenance operation as the company grows.
The role includes, but is not limited to, the following responsibilities:
- Manage the day-to-day maintenance function for HostWise properties in the Pittsburgh market
- Directly supervise, coach, and hold accountable the Maintenance Technician(s)
- Prioritize, assign, and monitor maintenance tasks to ensure timely completion, proper follow-through, and efficient field execution
- Perform hands-on repair and maintenance work as a regular and expected part of the role, including but not limited to plumbing, electrical, patch / paint, drywall, light carpentry, appliance troubleshooting, smart lock issues, and HVAC-related tasks
- Troubleshoot maintenance issues live with guests and / or employees when they are experiencing an active issue
- Triage incoming issues and determine the most appropriate path to resolution
- Decide when repairs should be handled internally versus outsourced to a qualified third-party vendor
- Source, schedule, coordinate, and manage vendors for work that is beyond internal skill set or bandwidth
- Inspect vendor work in the field and manage vendor communication, timelines, quality, and job costs to ensure work is completed to satisfaction
- Build and maintain a reliable bench of qualified vendors across relevant trades
- Establish, improve, and maintain maintenance processes, standards, and accountability systems
- Oversee preventative maintenance efforts across the portfolio
- Identify recurring issues, root causes, and opportunities for improvement across properties
- Inspect new and existing properties to identify maintenance issues, quality concerns, and opportunities for preventative action
- Partner closely with the Operations team to maintain property standards and support a strong guest experience
- Ensure every property is left guest ready after maintenance work is completed, including cleanup and reset following repairs, except in cases involving major repairs
- Assist with property setup, light staging support, supply stocking, warehouse organization, and other operational needs as required
- Manage the maintenance schedule and maintain clear prioritization across open issues
- Track maintenance activity, status updates, job notes, and related communication using company systems and software tools
- Obtain bids when needed, review completed tasks, assign costs accurately, track hours, and monitor maintenance-related spending and job-level profitability without sacrificing quality or speed
- Perform other duties and special projects as assigned by the COO
This role is ideal for someone who is highly competent, practical, dependable, and low ego. The right person will be comfortable leading from the front, operating with urgency, and working in an environment where hospitality standards matter just as much as technical competence.
POSITION REQUIREMENTS:
To perform this role successfully, an individual must be comfortable with the requirements below. These are representative of the knowledge, skills, and abilities required to excel in this position.
- Minimum of 10 years of hands-on maintenance experience, preferably in hotels, residential property management, multifamily, or similar environments
- Prior experience managing or supervising maintenance staff strongly preferred
- Strong working knowledge across a wide range of property-related repair categories, including but not limited to plumbing, electrical, drywall, patch / paint, light carpentry, appliances, HVAC troubleshooting, and more
- High comfort with computers & mobile software required, as we are heavily reliant on software. Ability to use smartphone and desktop software applications such as Slack, Asana, Workyard, Boom, Microsoft Office, and Gmail applications
- Proven ability to assess maintenance issues quickly and determine the most efficient and appropriate path to resolution
- Comfort operating in a fast-paced, hospitality-driven environment where urgency, responsiveness, and guest experience matter
- Experience managing third-party vendors, including job scoping, scheduling, communication, and quality control
- Strong organizational skills; ability to manage multiple properties, issues, and priorities at once
- Ability to work independently with limited supervision while also leading others effectively
- Strong communication skills and professional demeanor with both guests and colleagues
- Willingness to use GPS-based time tracking software
- Valid driver's license and maintained vehicle required
- Must have a basic set of tools
- Travel is generally limited to approximately a 15-mile diameter within the City of Pittsburgh
- Must reside within 30 minutes of Pittsburgh
SCHEDULE:
40-45 hours total, 5 days per week, starting between 8 & 10:00am - 4:30 - 6:30pm, with flexibility depending on business needs. Schedule will be determined by mutual agreement, but Sunday work is expected.
