Full Job Description

Metz Lewis Brodman Must O'Keefe LLC is seeking an experienced Legal Assistant to join our Corporate Practice Group. This position provides administrative and document-production support to attorneys in a busy corporate and transactional practice.

The ideal candidate is highly organized, detail-oriented, technologically proficient, and experienced in producing and managing complex legal documents. We are looking for someone who takes pride in producing polished, accurate work and can effectively manage multiple attorneys, assignments, and deadlines.

Responsibilities:

Create, revise, proofread, format, and finalize corporate agreements, correspondence, and other complex legal documents.
Troubleshoot and correct complex Microsoft Word formatting, including automatic numbering, styles, tables, cross-references, footnotes, Tables of Contents, section/page breaks, page numbering, Track Changes, and redlines.
Convert PDFs to Word and properly clean, reformat, and prepare converted documents for attorney use.
Create, edit, combine, separate, bookmark, link, and redact PDF documents.
Prepare and manage document comparisons and redlines using Litera.
Maintain electronic client and matter files in iManage, including document version control and shared folders.
Prepare, send, and track electronic signature packages using DocuSign.
Assist with Datasite and other virtual data rooms, including uploading, organizing, and maintaining transaction documents.
Assist with transaction-related documents, signature pages, executed agreements, closing materials, and closing sets.
Manage attorney calendars, meetings, scheduling, and deadlines.
Schedule and coordinate Microsoft Teams meetings.
Create and revise PowerPoint presentations.
Perform basic Excel functions, including revisions, formatting, and print setup.
Use firm-approved technology and AI/Chat tools to assist with quality-control review of documents and agreements in accordance with firm confidentiality and security requirements.
Provide administrative and overflow support to attorneys and other members of the Corporate Group as needed.

Qualifications

Prior experience as a Legal Assistant, Legal Secretary, or similar legal support professional is strongly preferred.
Experience supporting corporate and transactional attorneys is highly desirable.
Advanced Microsoft Word skills are essential. Candidates should be comfortable working independently with lengthy and complex legal documents.
Strong Adobe Acrobat/PDF skills required.
Experience with iManage, Litera, and DocuSign preferred.
Experience with Datasite or another virtual data room platform is a plus.
Proficiency with Microsoft Outlook, Teams, PowerPoint, and basic Excel.
Excellent proofreading, grammar, spelling, punctuation, and formatting skills.
Exceptional attention to detail and organizational skills.
Ability to prioritize multiple assignments and deadlines in a fast-paced environment.
Strong communication skills and a professional, service-oriented approach.
Ability to maintain the highest level of confidentiality.

What We Are Looking For

We are seeking an experienced Legal Assistant who understands the demands of a busy Corporate practice and can do more than provide traditional administrative support. The successful candidate will be comfortable taking ownership of document production, identifying and correcting formatting issues, managing transaction materials, anticipating attorney needs, and producing accurate, professional work with minimal supervision.

Experience supporting mergers and acquisitions, corporate governance, financing, private equity, commercial transactions, or other transactional matters is a plus.
